Key Responsibilities
- Provide high-level executive and administrative support to attorneys, including complex calendar management, scheduling, and coordination of meetings and deadlines.
- Serve as a primary point of contact for clients and third parties, handling communications professionally and ensuring timely follow-up.
- Prepare, format, proofread, and organize correspondence, engagement letters, invoices, and other practice-related documents.
- Manage document filing, organization, and records (electronic and physical), ensuring accuracy, confidentiality, and easy retrieval.
- Coordinate logistics for meetings, client appointments, and occasional events, including preparation of materials and follow-up items.
- Assist with onboarding new clients and maintaining client information and contact records.
- Support general practice operations, helping ensure attorneys are organized, informed, and able to focus on client service.
- Experience supporting legal operations or law firm operations is highly desirable, including familiarity with billing processes, matter management, document workflows, and practice management systems
- 5 years of experience in a legal assistant or executive assistant role, including experience working in a law firm or professional services environment.
- Demonstrated experience providing high-level administrative support to attorneys or senior professionals, including complex calendar management, client coordination, and practice support.
- Strong organizational skills with exceptional attention to detail and the ability to manage multiple priorities, workflows, and deadlines.
- Excellent written and verbal communication skills, with a professional, client-focused demeanor.
- Proficiency with Microsoft Office and legal or practice management systems, with comfort learning and using new technologies to support efficient workflows.
- Experience or aptitude in process improvement and legal operations support, including identifying opportunities to streamline administrative workflows, improve practice organization, and leverage technology for efficiency.
- Familiarity with billing and timekeeping processes, matter coordination, document management, and records workflows is desirable.
- High degree of discretion and professionalism in handling confidential and sensitive information.
- Proactive, reliable, and service-oriented, with the ability to work independently and collaboratively in a fast-paced environment.
- Experience supporting Estate Planning or Probate attorneys or practice areas is highly desirable but not required.
