We're looking for a highly organized, personable, and proactive Front Desk Coordinator / Administrative Assistant to be the heartbeat of our front desk and support daily operations.
Role Overview
This role is a blend of front desk, sales, administrative support, and calendar management. You will be the first and last impression for our clients, support the owner with organization and scheduling, and help ensure the studio runs smoothly day-to-day.
Key Responsibilities
Client Experience & Front Desk
Greet clients warmly and professionally upon arrival
Check clients in and out, process payments, and manage POS transactions
Answer phones, texts, emails, and DMs promptly and professionally
Maintain a clean, calm, and welcoming front desk and retail area
Educate clients on services, memberships, and retail products
Sales & Revenue Support
Confidently recommend services, add-ons, memberships, and retail
Support promotions, specials, and seasonal offerings
Track retail inventory and assist with merchandising displays
Help meet and exceed daily/weekly sales goals
Upsell appropriately while maintaining an authentic client-first experience
Calendar & Scheduling Management
Manage booking software and daily schedules
Assist the owner with calendar organization, appointment flow, and time blocking
Confirm appointments and reduce no-shows
Reschedule clients as needed while protecting productivity and revenue
Help optimize the schedule for efficiency and profitability
Administrative & Operations Support
Assist with inventory tracking, ordering, and backstock organization
Maintain client records, consent forms, and intake documents
Support basic reporting (daily totals, retail sales, appointment tracking)
Help prepare for launches, events, trainings, and promotions
Communicate clearly with the owner regarding studio needs and priorities
Opening & Closing Duties
Opening:
Open the studio and prepare front desk and retail areas
Turn on lights, music, systems, and POS
Review the day's schedule and prepare for clients
Closing:
Close out POS and daily totals
Clean and organize front desk and retail areas
Restock products and supplies as needed
Secure the studio and ensure everything is ready for the next day
