Job Description – Administrative Assistant
DESCRIPTION
Job Title: Administrative Assistant Position Type: Hourly
Department: Administration Starting Wage: $21.00 Hourly
Reports to: Director of Operations Starting Hours: 8:00 a.m. – 4:30 p.m.
PURPOSE AND EXPECTATIONS
Under general supervision, this job consists of supporting administration, production, purchasing and some human resources duties by completing office related tasks. These supporting tasks will be defined in the responsibilities listed below.
RESPONSIBILITIES
·· Manage the phone system including greetings, etc.
· Manage phone calls and correspondence (e-mail, letters, packages, etc.)
· Accept and direct incoming phone calls
· Coordinate office activities
· Data Entry
· Receive and direct visitors/clients
· Develop and maintain office procedures
· Provide general administrative and clerical support
· Develop and maintain ISO 9001 & ISO 13485 quality certifications including mailing, scanning, faxing, and copying
· Create and update records and databases with personnel, financial, and other data
· Work with General Manager for ordering of supplies and obtaining PO’s
· Initiate new customer, vendor, and supplier process forms
· Management of electronic and hard copy filing systems
· Plan meetings and take detailed minutes
· Successfully schedule and oversee audits
· Promote our services to new potential customers
· Create documents and processes for company
· Maintain accounts payable/receivable system for customers by recording the data into a form and invoicing, PO’s, etc.
· Order Acknowledgement
· Maintain, receive, and organize office supplies
· Perform shipping and receiving duties
· Hubspot Lead
· Light cleaning duties
· Clean room particle testing
· Assist as back-up operator at times
REQUIRED KNOWLEDGE, SKILLS & ABILITIES
Experience
Required: Expert level at File Manager, organizing, copying, pasting & moving electronic files on a Windows computer, Microsoft Office: Word, Excel, Outlook, PowerPoint
Clerical and administrative procedures and systems (filing and record keeping - both electronically and hard copy)
Principles and practice of basic office management
Good written and verbal communication
Experience working with computers, scanner/copy machine, telephone system
Preferred:
Basic ISO 9001:2015 understanding, Basic ISO 13485:2016 understanding
