A leading Chicago-based design and innovation-driven firm is seeking a highly organized and professional Office Manager & Executive Assistant to support executive leadership and ensure the smooth daily operation of its studio. This hybrid role is ideal for someone who thrives in a creative, fast-paced environment and enjoys wearing multiple hats—balancing operational management with high-level executive support.

You'll report directly to the President and support the CEO and CFO, managing everything from travel and event logistics to office culture and administrative processes.
What You’ll Do
Office Management (Approx. 50%)
- Serve as the first point of contact for visitors and manage a welcoming office experience
- Coordinate meetings, internal events, and culture-building activities
- Manage office supply inventory and vendor relationships
- Oversee onboarding/offboarding processes
- Keep communal areas clean, organized, and fully stocked
- Handle incoming/outgoing mail and shipments
- Arrange travel and prepare detailed itineraries for executive leadership
- Assist with special projects involving finance, accounting, and business operations
- Manage document organization, membership renewals, and light bookkeeping tasks
- Prepare materials for meetings, events, and communications, including brochures and proposals
- Coordinate with IT consultants and vendors to resolve tech or facility-related issues
- 3 years of office management or executive assistant experience (creative or professional services environment preferred)
- Proficiency in Microsoft Office; QuickBooks and Adobe Creative Suite experience a plus
- Excellent communication, time management, and organizational skills
- Ability to adapt quickly and prioritize across varied tasks and deadlines
- Positive, professional, and collaborative demeanor
- Valid driver’s license and comfort driving in city traffic (for occasional errands or deliveries)
