This position is located at the Larned State Correctional Facility and provides administrative support to the Human Resources Department.

Job Responsibilities may include but are not limited to the following:

  • RECRUITMENT: Drafts and posts job vacancy announcements/advertisements internally and externally, maintains recruitment files for each vacancy advertised/posted, and responds to requests for information about LSCF vacancies. Requests and obtains the necessary approvals to post and fill unclassified positions, tracking the status of all such requests. Screens applications or coordinates the screening of applications to determine that applicants meet minimum qualifications, preferred skills, and special qualifications. Processes incoming job applications and responds to job applicant inquiries. Addresses any deficiencies with applicant. Schedules interviews with qualified candidates. Assembles interview packets for interview board. Coordinates the administration of any written exercise for applicants. Prepares Candidate Assessment Summary for hiring recommendation and completes security clearance check paperwork. Completes work references for those applicants as requested by HR Manager. Insures EEO information, assessment sheets, all original applications, and all reference materials are completed and part of the interview packet before routing to the HR Manager for approval by the appointing authority. Receives approval for appointment from HR Manager, makes conditional offers of employment by contacting the candidate by telephone and candidates not getting an offer by letter. Facility employees will also be notified by telephone if not selected as a courtesy. Schedules drug screens and physicals for prospective employees as required by regulation and/or agency policy. Retains interview information in the manner dictated by agency policy. Routes appointment paperwork to the Benefits section for appointment and confirmation of employment offers. Assists HR Manager with research for the retention of staff. Attends job fairs as needed.
  • POSITION MANAGEMENT: Provides position descriptions to supervisors upon candidate selection, ensures HR receives the original document signed, Human Resources Manager and Warden signatures, and provides copies to supervisor and incumbent prior to being filed. Reviews position descriptions for accuracy and appropriateness and make changes as requested/needed. Works with Human Resources Manager and department managers for approval on changes as necessary. Ensures position descriptions are filed and maintained according to the State Retention Schedule.
  • PERFORMANCE REVIEWS: Oversees the Performance Review process for the agency, including the tracking process, to ensure performance reviews are completed by due date. Assigns probationary reviews to new and promoting employees. Provides follow-up on late or incomplete reviews to the supervisor and Human Resources Manager. Provides assistance and training to supervisors and employees on the review process as needed.
  • RECEPTION: Greets employees or members of the public, either in person or by phone, who wish to make contact with any of the Human Resources staff. Routes phone calls to the appropriate individual or division and takes messages in a courteous, helpful manner. Orders supplies, obtains and routes mail, posts notices on official bulletin boards, runs errands, services office equipment, and maintains neatness of the reception and work area. Responsible for filing documents in employee personnel files and employee medical files as needed.
  • OTHER: Performs Human Resource Professional I job duties in their absence. Performs related duties as required by the position in order to accomplish the goals of the department and the agency.

Minimum Qualifications: Two years of experience in general office, clerical and administrative support work. Education may be substituted for experience as determined relevant by the agency. Must have a valid driver's license and provide a copy.
