Salary and Benefits: This is a full-time, benefited Staff, S29 level position. Starting wage range: $22.40 - $27.44/hourly, depending upon experience. This role contributes to student success and program excellence by maintaining organized systems, coordinating resources, and upholding compliance with institutional, state, and federal standards. As a proactive leader with strong organizational and problem-solving skills, Clinic Coordinator advances the clinic's mission by creating an environment where faculty, staff, students, and patients experience reliable support, professional service, and well-managed operations. Principal Responsibilities and Results, KSA's ESSENTIAL FUNCTIONS: - this position is non-exempt, i.e., is eligible for compensatory or overtime pay provisions of the FLSA

Clinical Operations Management: Ensure efficient clinic operations that enhance the patient experience and support effective delivery of care.

Ensure efficient patient flow and a welcoming clinic environment that supports high-quality care and customer service Coordinate and schedule appointments with dentists, faculty, patients, and student-related activities. Confirm and/or cancel appointments as necessary. Answer calls and respond to general inquiries and requests for information, from the public or other technical colleges, regarding program or clinic services or operations Maintain reliable systems for scheduling, equipment, and supplies so that clinical operations run smoothly and without interruption.

Promote a safe and organized clinic environment that meets professional and educational standards. Maintain records and process billings Handle all patient payments, secure and deposit petty cash, and maintain record of these transactions. Maintain and oversee the cleanliness and orderliness of the clinic including picking up trash, straightening room, and ensuring sanitary conditions in accordance with established health and safety standards Program and Educational Support: Facilitate student and faculty success through effective coordination of scheduling, records management, supplies, and program operation.

Support student learning and faculty effectiveness by coordinating program schedules, resources, and records. Facilitate program meetings and communications to strengthen collaboration and alignment among faculty, staff, and students. Order and assign radiography monitoring badges for faculty, dentists, and students.

Submit badges for ongoing monitoring on a monthly basis. Dispense prescribed radiography film to students Assist students in the scheduling process, patient recordkeeping, and in explaining, demonstrating, and using sterilizer and other equipment Compliance and Quality Assurance: Ensure adherence to policies, standards, and accreditation requirements, resulting in compliant, high-quality, and accountable practices. Uphold federal, state, and institutional standards (e.g., OSHA, HIPAA, College policies) to ensure clinic and program compliance

Maintain accurate documentation and systems that support accountability, accreditation, and continuous improvement. Monitor clinic practices to identify and address risks, ensuring a safe and ethical environment for all stakeholders. Sterilize, wrap, and ensure the proper storage of hand instruments in accordance with established health and safety standards.

Administrative and Resource Coordination: Provide coordinated administrative support that enables effective program leadership, faculty success, and efficient daily operations. Provide consistent support to the Program Director and faculty by managing resources, logistics, and information flow. Oversee equipment, supply, and inventory processes to ensure resources are available and cost-effective.

Inventory, obtain quotes, order, stock, and maintain supplies. Maintain organized systems that improve efficiency, accuracy, and accessibility of program and clinic operations. Leadership and Collaboration: Promote a collaborative and professional work environment that supports effective communication, teamwork, and organizational structure.

Foster a culture of teamwork, respect, and professionalism among students, staff, and faculty. Anticipate and resolve operational challenges through proactive communication and problem-solving. Represent the clinic with a customer-focused mindset, ensuring positive experiences for patients, students, and colleagues.

Other responsibilities may be assigned based on contemporary institutional needs. KNOWLEDGE, SKILLS, AND ABILITIES: Knowledge Regulatory Compliance - Knowledge of laws, regulations, and standards relevant to clinical and educational environments (e.g., OSHA, HIPAA, FERPA, Title IX). Administrative - Knowledge of office procedures, records management, and workplace terminology

Computers - Operation of computers and proficiency with office and clinic software (e.g., Microsoft Office Suite, Outlook, dental management systems). Customer and Personal Service - Principles of service excellence, needs assessment, and quality standards. Inventory and Resource Management - Methods for maintaining supplies, equipment, and resources efficiently

Skills Communication - Clear and professional oral and written communication tailored to diverse audiences. Problem Solving and Critical Thinking - Identifying issues, evaluating options, and implementing solutions. Interpersonal Skills - Building relationships, managing dynamics, and fostering collaboration.

Records Management - Maintaining accurate, accessible, and secure program and clinic records. Technical Skills - Applying knowledge of dental equipment, sterilization, and safety procedures. Troubleshooting - Determining causes of operating errors and deciding what to do about it.

Communication - Strong verbal and written communication skills, including the capacity to convey complex information clearly. Equipment Maintenance - Monitoring and performing routine upkeep to ensure reliable operations. Abilities Attention to Detail - Ensuring accuracy, compliance, and quality in all aspects of work.

Professionalism and Emotional Intelligence - Representing the program with maturity, adaptability, discretion, and respect for confidentiality. Teamwork and Leadership - Contributing to a positive, collaborative work environment and supporting group goals. PHYSICAL/MENTAL DEMANDS: To successfully perform the essential functions of this position, an employee must be able to: Comply with highly inflexible deadlines Adapt to a variable work schedule as needed.

Frequently move around the assigned work areas as well as within hallways, meeting rooms, and other parts of the campus facilities. Engage in multiple/daily instances of prolonged sitting, standing, bending, kneeling, twisting, climbing and carrying of objects. Frequently lift and/or move up to 50 pounds Specific vision abilities required by this position include close vision, distance vision, and ability to adjust focus.

Potential exposure to harsh chemicals and bloodborne pathogens. Ability to effectively listen and perceive the nature of sounds and spoken words at normal speaking levels with or without correction. Education and Experience Requirements Minimum Qualifications: High School Diploma One year of dental or medical office experience Proficient use of common office software systems, communication in a high-paced environment, and excellent customer service skills Current CPR certification Current on applicable immunizations (i.e., Hepatitis B, Influenza, MMR, Tetanus, etc.) Preferred Qualifications: . Two years of experience in a high-volume dental practice to include office management, inventory, use of office software, billing, customer service, and office organizational support
