A DAY IN THE LIFE OF A SERVICE COORDINATOR
As a Service Coordinator, you'll be the operational backbone of our service team, supporting technicians in the field, ensuring efficient scheduling, managing warranty claims, and acting as the communication hub between departments, customers, and manufacturers. Your work helps ensure we deliver a five-star experience to every customer, every time.
KEY RESPONSIBILITIES
Scheduling & Technician Support
- Manage and adjust schedules for technicians
- provide real-time support to technicians (pricing, quoting, logistics)
Warranty & Equipment Registration
- File warranty and recall claims with manufacturers
- Register all installed equipment (e.g., heat pumps, generators, heating, plumbing and solar systems)
- Track defective product replacements and warranty reimbursements
Customer Communication
- Respond to service requests, phone calls, emails, and other customer inquiries
- Follow up on callbacks, leads, and outstanding payments
- Send maintenance reminders and track customer feedback
Invoicing & Reporting
- Finalize and review daily invoices
- Prepare job estimates and monitor projected revenue
- Generate daily operational and financial reports
Sales & Marketing Support
- Inform sales reps of current promotions and pricing updates
- Share marketing materials and follow up on sales leads
Administrative & IT Support
- Approve/coordinate with teammates regarding PTO requests to ensure coverage
Fleet & Equipment Maintenance
- Schedule and oversee vehicle inspections and services
- Track vehicle use and maintenance logs
- Maintain vehicle maintenance/repair schedules and alert management of any team issues
QUALIFICATIONS FOR A SERVICE COORDINATOR
- High school diploma or GED
- 1–3 months of relevant experience, or equivalent combination of training and education
- Strong multitasking and organizational skills with a talent for managing moving parts and pieces
- Proficiency with Microsoft Office, Google Workspace, and scheduling/CRM tools
- Strong communication skills and a customer-first mindset
- Ability to work both independently and collaboratively
PREFERRED SKILLS AND EXPERIENCE
- Experience in service coordination or dispatch within one or more of the trades listed above
- Familiarity with permitting and related collaboration with cities/towns (a plus, not required)
PHYSICAL REQUIREMENTS
- Prolonged periods of working at a computer
- Occasional bending, lifting (up to 25 lbs), and moving around the office
- Ability to hear and speak clearly with technicians and customers
WORK SCHEDULE
- This full-time administrative position works a typical schedule of Monday - Friday, from 7:00 AM to 4:00 PM.
- Willingness to provide weekend coverage on a rotating schedule would be a huge plus!
