SCHOOL SECRETARY

QUALIFICATIONS:

  • High school diploma with secretarial, clerical, and/or office management training skills preferred.
  • Ability to communicate (oral and written) fluently in Spanish is a plus.
  • Must meet the suitability criteria for employment and/or certification/licensure under the Alabama Child Protection Act of 1999 and Act No. 2002-457.
  • Such alternatives to the above qualifications as the Board may find appropriate and acceptable.
  • Ability to greet and deal with visitors, especially those who arrive in an agitated state.
  • Ability to react quickly and calmly in placing and receiving calls of an emergency nature.

FLSA STATUS: Non-exempt

SUPERVISED BY: Principal

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:

  • Skills in office organization, time management, and problem solving.
  • Knowledge of the procedures, practices and operations of a public school.
  • Ability to use excellent business English, grammar, spelling and punctuation.
  • Skill and accuracy in operating computer hardware and software for word processing, email data entry, newsletters, calendars, and record keeping.
  • Ability to communicate clearly and concisely, both orally and in writing, including clear, polite telephone communication skills.
  • Ability to work effectively under minimal supervision and to follow instructions.
  • Ability to exercise tact, good judgment, confidentiality and initiative in dealing with students, faculty and the public.
  • Be capable of moving and lifting moderately heavy weights.
  • Physical and emotional ability and dexterity to perform required work and move about as needed in a fast-paced, high-intensive work environment.
  • Ability to deal well with others.

JOB GOAL:

To ensure the smooth operation of the school’s office through application of secretarial and clerical duties.

PERFORMANCE RESPONSIBILITIES AND ESSENTIAL FUNCTIONS:

  • Provides secretarial services for the principal and other school employees as directed.
  • Maintains student records, initiates new records for incoming students.
  • Provides routine management of the school office.
  • Monitors as directed office safety equipment, visitors, or incoming messages in the implementation of the school safety plan.
  • Publishes communication/bulletin/email notices for teachers and students.
  • Attends and participates as directed in trainings, meetings, seminars, and job-related conferences.
  • Assists with the preparation of meeting materials, agendas, committee records, or school plans.
  • Assists with composing and forwarding letters.
  • Assumes general receptionist duties such as answering the telephone and greeting school visitors.
  • Makes necessary computerized reports related to student enrollment, attendance, discipline, grade reporting, inventory or other administrative or system needs.
  • Maintains confidentiality regarding school/workplace matters.
  • Models and maintains high ethical standards.
  • Demonstrates initiative in the performance of assigned responsibilities.
  • Keeps the supervisor informed of potential problems or unusual events.
  • Responds to inquiries and concerns in a timely manner.
  • Serves on school/system committees as required or appropriate.
  • Exhibits interpersonal skills to work as an effective team member.
  • Demonstrates support for the school system and its goals and priorities.
  • Assumes limited bookkeeping duties in the absence of the bookkeeper.
  • Performs various related office duties as assigned.
  • Follows attendance, punctuality and proper dress rules.

TERMS OF EMPLOYMENT

202-day contract (10-month) salary determined by the Board’s salary schedule.

EVALUATION:

Performance of this job will be evaluated semi-annually in accordance with the Board’s policy on evaluation of classified personnel.
