Responsibilities
- Manage multi-line phone systems with professionalism, providing exceptional customer support and clear communication
- Handle front desk duties including greeting visitors, answering inquiries, and directing calls with courteous phone etiquette
- Maintain organized filing systems, data entry records, and manage document proofreading to ensure accuracy and confidentiality
- Utilize productivity software such as Microsoft Office (Word, Excel) and Google Workspace for creating spreadsheets, reports, and correspondence
- Assist with office management tasks including calendar management, scheduling appointments, and coordinating meetings
- Support bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices
- Perform general clerical duties such as photocopying, faxing, filing, and maintaining office supplies inventory
Experience
- Prior office experience in administrative or clerical roles with a strong foundation in office management practices
- Proficiency in Microsoft Office Suite (Word, Excel), Google Workspace tools, and data entry skills with high accuracy
- Experience handling multi-line phone systems and providing excellent customer service in person or over the phone
- Familiarity with QuickBooks or bookkeeping software is preferred but not required
- Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members
- Demonstrated organizational skills with the ability to prioritize tasks efficiently and manage time effectively
- Previous experience as a medical or dental receptionist or personal assistant is a plus but not mandatory
