As a Tax Specialist at Landmark Payroll, you will work closely with tax agencies to ensure accurate and timely filing and payment of payroll taxes. This role requires a strong understanding of tax compliance processes and attention to detail to identify and resolve discrepancies. You will collaborate with internal teams and external agencies to maintain compliance and deliver exceptional service to our clients. Will consider on-site at our Commerce, CA office or remote.

Responsibilities

The Tax Specialist on our Notices team serves as the primary point of contact for resolving agency notices on behalf of Landmark Payroll clients. You will act as a liaison between clients, Landmark, and tax agencies to ensure issues are addressed promptly and accurately.

  • Investigate and analyze tax notices to determine root causes and implement preventive measures.
  • Set up and manage new state and local tax authority accounts for clients, including unemployment insurance, withholding tax, and any jurisdiction-specific requirements.
  • Research and resolve state and federal payroll tax issues, including tax notices, discrepancies, and compliance questions.
  • Monitor changes in payroll tax laws and regulations to ensure ongoing compliance for all clients.
  • Maintain accurate records of tax account numbers, filing frequencies, deposit schedules, and tax rates.
  • Prepare and send detailed correspondence to tax agencies, including supporting documentation required to resolve issues.
  • Communicate with clients to explain notice impacts, gather necessary information, and provide updates throughout the resolution process.
  • Document all communications and resolutions for client records, including confirmation from agencies when applicable.
  • Collaborate with tax agencies and internal Landmark teams to troubleshoot and resolve payroll tax-related issues.
  • Educate clients on tax compliance and assist with understanding unresolved issues.
  • Reconcile client tax returns and payments with agency records to ensure accuracy.
  • Request penalty and interest abatements from agencies when appropriate.
  • Conduct quality assurance reviews of tax setups within Landmark systems.
  • Identify recurring issues and recommend process improvements to prevent future occurrences.
  • Assist with quarterly and annual tax filings, including verifying data for accuracy before submission
  • Support team members as needed, including assisting with workload during peak periods.

Qualifications

  • 1 year of experience in accounting, business, or payroll (preferred)
  • 2 years of payroll tax experience (preferred)
  • Ability to thrive in a fast-paced environment and meet tight deadlines
  • Strong client service skills and ability to learn new systems quickly
  • Proven ability to build positive relationships across teams and with clients
  • Knowledge of federal, state, and local tax filing requirements is a plus
  • Detail-oriented with strong analytical and problem-solving skills
  • Proactive and self-motivated with a commitment to accuracy
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Excel (pivot tables, VLOOKUPs required)
  • Ability to multitask and work independently
