Duties

- Manage multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette
- Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and timeliness
- Maintain appointment calendars and schedule meetings using Microsoft Office and Google Workspace tools
- Perform data entry, filing, and document proofreading to ensure accuracy and organization of records
- Support office management tasks such as supply inventory, basic bookkeeping with QuickBooks, and general clerical duties
- Assist with customer support by answering inquiries promptly and professionally, providing information or redirecting as needed
Experience
- Previous office experience or clerical experience demonstrating strong organizational skills and attention to detail
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Familiarity with multi-line phone systems and phone etiquette standards
- Bilingual abilities are a plus for serving diverse clientele effectively
- Experience in medical or dental receptionist roles is advantageous but not required
- Strong typing skills along with time management capabilities to prioritize tasks efficiently
- Personal assistant or administrative experience that showcases excellent organizational and calendar management skills
