We’re looking for a dynamic Intake Manager to lead our patient onboarding and benefit verification operations and deliver a Landmark level of service to every patient, caregiver, and referral partner we work with. We're looking for a seasoned healthcare operations professional based in the Dallas-Fort Worth area. This is an in-office leadership role at the heart of our care coordination — overseeing a team of Benefits Specialists and Infusion Coordinators, driving process excellence, and ensuring patients move smoothly from referral to care.
What You’ll Do
Lead & Develop the Intake Team
- Hire, train, coach, and mentor intake staff — fostering accountability, teamwork, and continuous growth.
- Manage workloads and staffing levels to ensure operational efficiency.
- Conduct performance evaluations and implement development plans.
- Establish and track departmental metrics and report results to leadership.
Oversee Referral Intake & Care Coordination
- Ensure timely, accurate processing of all referrals and seamless patient onboarding.
- Serve as the escalation point for complex intake and coordination issues.
- Partner with Sales, Reimbursement, Pharmacy, and Nursing teams to deliver exceptional outcomes.
- Maintain accurate documentation in CareTend and other applicable systems.
Drive Financial Performance
- Oversee copay, deductible, and cost-share collection processes prior to service initiation.
- Monitor collection metrics and provide regular reporting to leadership.
- Participate in weekly billing and financial performance reviews with the Reimbursement team.
Champion Compliance & Process Improvement
- Ensure compliance with HIPAA, federal/state regulations, and accreditation requirements.
- Identify and eliminate workflow bottlenecks; implement best practices.
- Lead adoption of operational tools including Power BI reporting platforms.
- Develop and maintain departmental policies, procedures, and training materials.
What We’re Looking For
- Demonstrated leadership experience in healthcare operations — home infusion, specialty pharmacy, intake, or reimbursement preferred.
- A natural leader and communicator who thrives in a fast-paced, high-volume environment.
- Strong knowledge of insurance verification, prior authorization, patient financial counseling, and revenue cycle management.
- Familiarity with Medicare Part B/D home infusion benefits, commercial insurance, and Medicaid.
- Experience with pharmacy management systems; knowledge of Availity, Epic Care Link, CareTend, and Power BI is a plus.
- Strong analytical skills with a track record of developing and monitoring KPIs.
The Details
- In-office position, Monday–Friday, 40–50 hours per week.
- On-call availability required.
- Serves patients from pediatrics through geriatrics.
- Regular computer and phone use; occasional lifting up to 25 lbs.
