Job Summary
The Accounts Payable Supervisor reports to the Corporate Controller and oversees the daily execution, supervision, and optimization of the Accounts Payable function in a high-volume construction environment. This role focuses on AP team leadership, vendor and subcontractor payment accuracy, compliance coordination, system administration, and process discipline. The Supervisor ensures timely payments, strong internal controls, and effective workflows while maintaining positive vendor relationships and partnering closely with Operations, Project Controls, and Accounting.
Responsibilities and Duties
Essential Functions:
- Establish and monitor AP KPIs (cycle time, invoice aging, exceptions, payment accuracy) and drive continuous process improvement.
- Ensure adherence to company AP policies, approval workflows, and internal controls.
- Oversee vendor and subcontractor payment processing, ensuring required documentation is received before payment (e.g., lien waivers, W-9s, compliance approvals).
- Coordinate with Risk & Insurance and Project teams regarding insurance compliance requirements.
- Review AP aging, resolve discrepancies, and escalate issues as needed to ensure timely and accurate payments.
- Supervise subcontractor pay applications and invoice processing in alignment with contract terms.
- Ensure retainage tracking is accurate and properly reflected in the AP system.
- Partner with Project Management, Project Controls, and Operations to resolve billing discrepancies and documentation gaps.
- Own administration and oversight of AP-related systems and workflows.
- Drive system optimization, automation, and standardization across entities.
- Oversee 1099 vendor setup, tracking, reconciliation, and annual filing coordination.
- Oversee credit card programs and employee expense reimbursement process.
- Support audits by preparing AP documentation, schedules, and support as requested.
- Maintain strong vendor relationships to support issue resolution and payment transparency.
- Protect the organization’s value by maintaining confidentiality of financial and employee information.
- Participate in weekly meetings by providing status updates on AP matters.
- Perform special projects and additional duties as assigned.
Supervisory Responsibilities:
- Lead, supervise, and develop the Accounts Payable team, including training, workload distribution, performance expectations, and accountability.
- Foster a positive, professional, and collaborative work environment that promotes teamwork, transparency, and continuous improvement.
- Maintain a positive work atmosphere through effective communication with internal and external customers.
Qualifications and KSA
Education:
- Bachelor’s degree in Accounting, Business Administration, or a related field preferred.
- Equivalent combination of education and significant accounts payable leadership experience will be considered.
Experience:
- Minimum of 5 years of accounts payable experience in a construction environment required.
- Minimum of 3 years of experience in an AP supervisory or lead role.
- Demonstrated experience with subcontractor accounts payable, lien waivers, retainage tracking, and high-volume invoice processing.
- Experience supporting audits and working within strong internal control environments.
Knowledge, Skills, and Abilities:
- Strong working knowledge of construction accounting practices, including subcontractor payments, compliance documentation, and retainage.
- Proficiency with construction accounting software such as Viewpoint, Sage 300 CRE, CMiC, or similar systems.
- Proficient in Microsoft Office, with intermediate to advanced Excel skills.
- Strong people leadership skills with the ability to coach, develop, and hold teams accountable.
- Excellent verbal and written communication skills with the ability to interact effectively across departments and with external partners.
- Excellent organizational and time-management skills with the ability to prioritize and meet deadlines.
- High attention to detail and accuracy in a deadline-driven, fast-paced environment.
