Key Responsibilities
Research & Documentation
- Conduct records research online and at courthouses, including tax assessments, deeds, gas leases, and probate records
- Record legal documents at county courthouses as required
- Prepare, proofread, and manage correspondence and legal documents
Administrative & Operational Support
- Maintain and organize hard-copy and electronic files
- Schedule client appointments and consultations while delivering outstanding customer service
- Manage calendars for the attorney and staff to ensure accuracy and timeliness
- Answer phones, conduct potential client intakes, and route calls appropriately
- Perform general office tasks, including scanning, mailing, filing, and data management
- Communicate with clients in person, over the phone, and via email
- Attend client appointments and support attorneys during signing meetings
Professional Standards
- Maintain strict confidentiality of all client and firm information
- Follow firm procedures to ensure work is completed accurately and thoroughly
- Support the attorney with additional tasks as assigned
Required Skills and Qualifications
- Proficiency with Microsoft Office and standard office technology
- Strong organizational and time-management skills with the ability to manage multiple priorities
- Excellent written and verbal communication skills
- High attention to detail and commitment to accuracy
- Highly motivated and comfortable working in a self-paced environment
- Strong ability to multitask and adapt to different processes and procedures
- Proficiency with PDF editors such as PDF-Xchange
- Previous experience in a law office preferred but not required
Notary Requirement: Active Notary Public license in Pennsylvania OR willingness to obtain notary licensure upon hire (firm support provided)
Work Environment & schedule
- Standard office equipment, including computers, phones, scanners, and filing systems
- Monday- Friday, 8:30 a.m. – 5:00 p.m. (30 minutes unpaid lunch)
- This position is not eligible for remote work
- Some travel required to the office in Kingston, PA; Register of Wills offices; and Recorder of Deeds offices.
Compensation:
- $38,000 - $45,000.00/year salary
- Paid Time Off (PTO) & Flex-Time
