What are the responsibilities and job description for the Operations Support Assistant/Front Desk Coordinator position at LAMMICO?
Position Summary:
Performs and/or coordinates all reception and switchboard functions including answering and routing telephone calls from main numbers at all locations, managing conference room usage, greeting and directing guests, training backups, and coordinating reception coverage schedule; also indexes Underwriting mail, runs reports and performs specific assignments from the Operational Departments to support the daily business activities of the office.
Reporting Relationship:
Reports directly to the Insurance Operations Support Manager and may take direction from the VP of Underwriting
Essential Functions/Responsibilities:
- Works in a cooperative manner with management, coworkers, customers, and vendors; seeks to support LAMMICO’s mission and vision in daily operations
- Meets assigned target dates and objectives; helps ensure that department quality, service, and productivity standards are met
- Provides excellent service to our policyholders, guests, employees, and outside vendors
- Effectively answers and routes telephone calls to appropriate employees/departments for all LAMMICO locations
- Coordinates coverage schedule for receptionist position. Conducts training for backup receptionist and switchboard team on all reception procedures through individualized training and schedules and facilitates quarterly switchboard meetings
- Monitors effectiveness of department incoming call processes, recommending and working with departments on process improvement as needed
- Greets visitors courteously, including employees, board members, and vendors. Maintains the appearance of the reception area, validates parking, assures all visitors and employees comply with LAMMICO’s security protocol
- Performs clerical and administrative duties for all departments as needed
- Receives and sorts deliveries
- Indexes mail in ImageRight for Underwriting department
- Responsible for generating data warehouse reports (MPX and Claim Summary) for all group renewal policies and importing into the ImageRight file
- Assists the mailroom with renewal letters
- Responsible for maintaining Front Desk Confluence Procedure Manual to include adding, deleting and updating information for each department’s phone routing procedures as well as each department’s staffing
- Responsible for maintaining electronic copies of all LAMMICO E-Blasts in the Front Desk Confluence site
- Responsible for routing of all citations to claims, corporate legal and in-house legal departments
- Responsible for accepting premium payments for LAMMICO, Elatas Risk Partners and medical students
Secondary Functions/Responsibilities:
- Other responsibilities and special projects as assigned
- Serves as backup to the Marketing Coordinator for entering new application information into the Salesforce contact management software
Education, Experience and Skills
Required:
- High school diploma
- Minimum of two years of prior experience as a receptionist
- Knowledge of Outlook or scheduling and imaging software
- Strong customer focus and team orientation
- Ability to appropriately handle confidential or sensitive company information
- Excellent communication skills with the ability to interact and work effectively with employees at all levels within the organization
- Ability to manage time, set priorities and work independently
- Proficiency in the use of Microsoft Office Programs
