Job Summary
The HR Department is inviting applications for the position of HR Assistant, Data Entry. Essential Job Functions
- Enters and maintains accurate employee records in the HRIS, including job data, position changes, salary adjustments, terminations, and other personnel actions.
- Processes and updates data related to new hires, rehires, promotions, and organizational changes in accordance with internal procedures and regulatory requirements.
- eviews and audits incoming personnel documents to ensure completeness, consistency, and compliance with university and system policies.
- Provides timely and accurate responses for Open Records Requests, ensuring confidentiality and compliance with applicable public information laws.
- Retrieves and compiles requested HR data and documentation in response to Audit Requests, coordinating with internal departments as needed.
- Processes and responds to Verification of Employment (VOE) requests in a professional and secure manner, ensuring turnaround within established timeframes.
- Conducts regular data quality reviews to ensure accuracy, completeness, and integrity of employee records within the HRIS.
- Assists in data clean-up and special projects to support reporting accuracy, compliance, and system improvements.
- Maintains proper electronic filing and organization of records in accordance with records retention policies and university guidelines.
- Supports reporting and compliance efforts by generating HRIS reports or providing data to HR leadership and auditors as needed.
- Collaborates with HR team members and other departments to ensure consistent and efficient data workflows across HR functional areas.
- Upholds data security and privacy standards when handling sensitive employee information, ensuring compliance with university policy and applicable laws.
Minimum and Desired Qualifications
Minimum Qualifications:
- High School Diploma or GED required
- One (1) year of administrative or customer service experience required
- Ability to maintain confidentiality to maintain the integrity of payroll and human resources practices.
- Exceptional oral, written, and interpersonal communication and customer service skills.
- Strong Customer Service skills
- Ability to maintain a high level of professionalism in communicating and working effectively with a diverse variety of internal and external contacts.
- Ability to work independently with exceptional organizational, problem-solving, prioritizing, multitasking, and decision-making skills.
- Strong knowledge of Microsoft Suite (Word, Excel, PowerPoint, Outlook). Experience with Banner 9, ATS, Onboarding System, Cardinal Purch preferred.
