GENERAL DESCRIPTION
The Administrative Assistant II is responsible to the Assistant Vice President of Operations & Institutional Services for the clerical affairs of the AVP's office. Administrative Assistant II is also responsible for supporting college functions, campus and community events. Duties and responsibilities shall include, but are not limited to:
Duties/Responsibilities:
ESSENTIAL JOB FUNCTIONS
- Serve as administrative assistant for the Assistant Vice President of Operations & Institutional Services; triage incoming communications and appointment requests; schedule in person and/or virtual appointments, as appropriate; receive and triage telephone calls; manage and monitor AVP’s calendar.
- Assists in planning, implementing, and logistical support for college functions, campus and community events.
- Attend meetings and take minutes, as requested by AVP.
- Prepare, distribute, and collect documents/forms needed for AVP, as requested.
- Enter budget requisitions, manage invoices and purchase orders, and maintain records of available budgets for AVP, and as needed for the Director of Institutional Research & Effectiveness; Director of Print & Design Services; Director of Hospitality & Events; and LSCO Lumberton Campus.
- Prepare F3.2s and other documents as needed for employees.
- Prepare and maintain student worker schedules and monthly time sheets.
- Open, sort, and route AVP's mail and prepare outgoing mail for pickup or route to appropriate internal department.
- Make travel arrangements for the AVP and complete appropriate forms and requisitions.
- Assist at selected LSCO sponsored functions whenever and wherever necessary.
- Assist with all SACSCOC and other compliance related activities.
- Maintain LSCO webpages, social media pages, and blackboard channels or pages that are managed by the AVP or departments within the division.
- Assist and support Directors within the division as needed.
- Participate in ongoing professional development to remain current with the skills and technology needed to meet the changing needs of higher education.
OTHER JOB FUNCTIONS
- Perform other related duties as assigned by the AVP
- Serve on Campus committees as requested
GENERAL QUALIFICATIONS/REQUIREMENTS
High school diploma or equivalent required. Associates degree preferred.
Minimum of two years of administrative/clerical work. Event planning or coordination experience is a plus.
Supplemental Information:
KNOWLEDGE, SKILLS, AND ABILITIES
Working knowledge of business communications, spelling, grammar, punctuation, and mathematics. Knowledge of the principles of office management. Requires the ability to operate computer systems with a strong proficiency in Microsoft Word, Microsoft Excel, and Microsoft PowerPoint in addition to other standard office equipment. Proficiency with other digital publishing software, such as Adobe suite, is preferred. Experience with higher education software (Banner) is preferred. Able to maintain effective working relationships with students, staff, and faculty. Able to handle internal and public relations courteously and tactfully. Multi-tasking required on simultaneous projects. Must comply with established College and TSUS policies and standards.
PHYSICAL REQUIREMENTS
Extreme ambulatory requirements; extreme cognitive requirements; normal speech - communication requirements; normal written communication required; extreme visual acuity required; normal or corrected hearing required; and moderate travel required. Requires frequent standing, lifting, pushing, pulling, and carrying objects up to 25 pounds; operating a calculator, personal computer, and various office equipment. Requires infrequent stooping, bending, sorting and filing.

This position is security-sensitive and thereby subject to the provisions of the Texas Education Code §51.215.
