Job Title: Parents as Teachers Secretary/Administrative Assistant

Reports to: Parents as Teachers Coordinator

Receives Guidance From: Assistant Superintendent of Elementary Programs

Overtime Status: Compliant with position, salary and FLSA regulations

Job Summary

The Parents as Teachers (PAT) Secretary provides administrative support to the Parents as Teachers program by managing office operations, maintaining confidential records, scheduling appointments, preparing reports and correspondence, and serving as a point of contact for families and community partners. This position works collaboratively with PAT Parent Educators and the Early Learning Collaborative to prepare, coordinate, and facilitate hands-on educational events and activities for children and families. This includes assisting with the planning, setup, organization, and implementation of developmentally appropriate learning experiences for children from the prenatal stage through age five.

Qualifications

  • Possesses a high school diploma or equivalent; must have computer experience and be proficient in Google or Microsoft Office; familiarity with using a Macbook preferred; familiarity with Canva preferred.
  • Possesses a high level of interpersonal skills; professional telephone manner; maintains a professional attitude and appearance at all times; able to operate standard office equipment (e.g. copier, adding machine, fax, etc.)
  • Uses appropriate grammar and syntax – verbal and written
  • Must complete fingerprinting process administered by district and pass background check prior to employment;
  • Must fill out the Child Abuse Registry Check Form

Duties And Responsibilities

  • Protects educational process at all times
  • Keeps all information relating to school situations strictly confidential
  • Performs general secretarial functions such as: copying, filing, mailing, faxing, letters, typing documents/memos, delivering mail, purchase order requests, etc.
  • Answers telephone, taking and delivering messages to the appropriate people
  • Accesses and navigates online early childhood education resources and websites to prepare hands-on learning activities approved by the Coordinator
  • Maintains reliable transportation (travel is needed throughout the district at times)
  • Remains flexible to attend and assist with occasional evening or after hour programs, family engagement events, and/or community activities (events will be scheduled well in advance with reasonable notice provided for planning and participation)
  • Regular, dependable, in person attendance is an essential function of this position
  • Fulfills all other functions related to the school office as designated by the Coordinator or Assistant Superintendent
  • Maintains and accepts responsibility for any district owned fixed asset item assigned to employee and ensures appropriate use by following district policies for acceptable use
  • Undergoes periodic evaluations according to state and board policy procedures
  • Performs such other and not specifically enumerated duties as may be requested by the Board of Education, superintendent, administrator, director or established by district policy
  • Reads, understands, and abides by Employee Conduct Policy and all other district, state and federal policies, and procedures and protocols as established by LCSD and the Mississippi Educator Code of Conduct

The employee is occasionally required to stoop, kneel, reach, crouch or crawl. The employee must regularly lift and move up to 35 pounds and occasionally up to 75 pounds. Specific vision abilities required by this job include close vision.
