POSITION TITLE:
Staffing Specialist, Auxiliary
JOB DESCRIPTION:
Primary Purpose: To assist in the administration of the human resources affairs of the district in a manner that preserves confidentiality and projects a professional image of the department.
RESPONSIBILITIES:
Major Responsibilities and Duties
- Perform all job duties in a confidential and responsible manner, demonstrating good judgment.
- Handle routine HR inquiries to ensure a high level of service and responsive, knowledgeable support for employees and their supervisors. Explain HR policies and practices to employees as appropriate.
- Process recommendation forms for auxiliary positions by verifying that candidates meet the job requirements (including but not limited to education and certification).
- Assist Substitute Coordinator with reviewing substitute applications.
- Communicate with applicants and hiring supervisors throughout the hiring process.
- Provide professional, timely, and courteous support to applicants, employees, and supervisors.
- Maintain HR information database to ensure that employee information is accurate, current, and reliable.
- Ensure that personnel files for auxiliary staff are complete and include all necessary documentation.
- Facilitate the new hire process for auxiliary staff and adjust as needed based on legislative or policy changes.
- Assist with managing a system for new employees to acquire appropriate information, support, and training necessary for success on the job.
- Prepare service records for employees.
- Prepare correspondence, forms, and reports according to district standards and requirements.
- Track expiration of certificates and licenses as applicable and issue timely notification to employees.
- Make offers of employment for auxiliary positions including salary determination.
- Issue contracts to eligible staff on an annual basis and inform the Board of Trustees regarding all contract action.
- Oversee and assist with employee onboarding.
- Conduct new employee orientations.
- Process paperwork for new employees and enter employee information into the HR/Payroll system ensuring payroll processing timelines are met.
- Record employee information, such as transfers, degree changes and position changes to maintain and update payroll records to ensure compliance, accuracy, and efficiency.
- Keep informed of and comply with all state and district policies and regulations concerning job duties.
- Maintain personal schedule that lends itself to flexible work hours as the workload dictates.
- Handle multiple tasks under pressure with accuracy.
- Attend workshops and/or seminars for professional development.
- Attendance at work is an essential function.
- Other duties as assigned by the supervisor or designee.
EXPERIENCE:
Minimum Experience:
- Three years of experience in a Human Resources role
- Experience interacting with state/federal agencies
- Customer service experience
QUALIFICATIONS:
Minimum Education/Certification:
- Bachelor’s degree from an accredited college or university preferred
Special Knowledge/Skills:
- Exceptional computer skills
- Ability to exercise independent decision making
- Effective interpersonal skills
- Strong analytical, communication and writing skills
- Ability to greet the public in person and by telephone
