JOB DESCRIPTION:
Primary Purpose:
To assist in the administration of the business affairs of the district.
RESPONSIBILITIES:
Major Responsibilities and Duties:
- Point of contact for activity fund-related questions and assistance
- Conduct activity fund trainings for school personnel.
- Train all campus administrative assistants on the activity fund accounting software.
- Assist campuses with necessary activity fund transactions when the administrative assistant position is vacant.
- Perform detailed reviews of activity funds as outlined in activity fund manual.
- Conduct internal examinations of activity funds operations, procedures, and functions.
- Review activity funds maintained by each school on a monthly basis.
- Monitor fundraising activities and related financial reporting
- Assist in the development and delivery of district-wide trainings, including presenting on activity funds, financial procedures, and district policies
- Review and recommend updates to the Activity Fund Manual to ensure compliance with current regulations, district policies, and best practices
- Compile the monthly sales tax reports and submit to the state comptroller.
- Track and reconcile activity fund invoices processed through Accounts Payable to ensure timely payment and prevent past-due balances
- Cross-train in other business office functions and provide backup support as needed
- Assist in special projects assigned by the Executive Director of Finance or designee
- Stay current with state and district policies to ensure compliance.
- Assist visitors and staff in a professional and helpful manner.
- Maintain confidentiality of financial and departmental information.
- Maintain reliable attendance in a role essential to daily operations.
EXPERIENCE:
Minimum Experience:
- 2-5 years of activity fund experience preferred
- School Cash or similar accounting software experience preferred
QUALIFICATIONS:
Minimum Education/Certification:
- High school diploma or G.E.D.
- 30 credited college hours OR five years of experience as a secretary or similar office experience preferred
Special Knowledge/Skills:
- Knowledge of budgeting and accounting
- Ability to communicate effectively both verbally and in writing
- Ability to resolve conflict, listen, and appropriately respond to concerns
- Knowledge of basic bookkeeping
- Understanding of activity fund regulations and internal controls
- Knowledge of common software packages such as Microsoft Word and Excel
