Job description:
We are currently seeking a full-time Administrative Assistant. The ideal candidate provides vital support to the office’s daily operations by handling clerical tasks, assisting agents, and maintaining a professional, welcoming environment for clients and visitors. This role makes sure that the office runs smoothly and supplies are well-organized. This position requires some travel to different offices as needed, including but not limited to Northborough, Auburn, and Worcester.
Key Responsibilities:
Office Support & Organization
- Create Moxi Books for agents.
- Create, print, and prepare brochures and other marketing materials to support property listings and open houses.
- Keep the office stocked with supplies, including paper, folders, and other essentials.
- Make folders for agent appointments, ensuring all required documents are included.
- Manage open house sign tracking, ensuring signs are clean, functional, and available for agent use.
- Set up Wednesday Trainings
Reception & Communication
- Answer phones promptly and professionally, directing the calls appropriately.
- Greet visitors warmly, offering assistance and connecting them with the appropriate team member.
- Maintain a tidy, welcoming reception area for clients, visitors, and agents.
- Book conference rooms
- Assist agents with office related tasks such as printing, checks, and office supplies.
Administrative & Financial Tasks
- Process and record check deposits accurately in compliance with company procedures.
- Provide general assistance to agents and office staff as needed.
- Handle office upkeep such as monitoring trash disposal and maintaining organized workspaces.
Job Qualifications:
- Ability to handle multiple tasks simultaneously
- Strong verbal and written communication abilities to effectively interact with vendors and colleagues
- Organizational proficiency to maintain precise records and swiftly locate critical information
- Effective time management skills for prioritizing and completing a diverse range of tasks daily
- Patience and attentive listening skills to appropriately respond and engage positively with dissatisfied customers
- Work well in a fast-paced environment
- Have strong attention to detail and communication skills
- Proficient in Microsoft operating system and Microsoft Office products, including Word, Outlook, Excel, and PowerPoint
- Proficient with Adobe
- Ability to learn new technology quickly
- Salesforce knowledge is a plus
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer
- Must be able to lift up to 25 pounds at times
