What are the responsibilities and job description for the Surgery Center Coordinator position at LAKEWOOD EYE PHYSICIANS & SURGEONS?
Purpose: To coordinate aspects of scheduling surgical procedures and assist in daily operations of our Ambulatory Surgery Center (ASC) activities accordance to Federal, State, and surgical center policies and procedures. Performs clerical, reception duties, and assists the department in administrative functions as they relate to the ASC.
Job Duties and Responsibilities:
- Creates, organizes, maintains, and retains patient surgery charts in accordance to polices and practice retention periods.
- Prepares surgical charts for pre-ops, collecting, and entering patient data such as name, procedure, date of procedure, etc. on surgical forms to provide to the nursing/surgical staff.
- Duties include locating requested files, scanning charts, and inputting patient data into EMR.
- Plans duties and assignments in order of priority.
- Assists the Surgery Schedulers in scheduling patients for surgical procedures, or rescheduling post-op and IOL appointments when necessary
- Inputs data accurately and timely into the Practices electronic medical records (EMR) system
- Types correspondence and messages accurately and timely.
- Assumes responsibility for patient admission to the facility.
- Verifies patient's insurance benefits in conjunction with the Receptionist/Scheduler. Pre-admits patients by telephone assures financial responsibilities are discussed and arrangements made with patients prior to the day of surgery.
- Conduct pre-op appointments with the patient to review consents and any necessary documentation needed for the day of surgery, and provide the patient with any necessary pre-op instructions.
- Generates all necessary admissions forms for the next day's cases.
- Accepts payments from cash, check, and credit card purchases.
- Distributes documents correctly and in a timely manner.
- Prepares and pulls charts for the following surgical day.
- Participates in credentialing process as directed.
- Assists in calling patients day before surgery with instructions
- Reports malfunctioning equipment to appropriate personnel, and demonstrates awareness of protocol for malfunctioning equipment and repair.
- Prepares and maintains an inventory of blank surgery charts for new surgical patients with required forms and documents inside by printing and/or scanning original copies.
- Performs various administrative duties such as scanning, copying, answering telephones, faxing, sorting, etc. as assigned.
- Follows applicable policies and procedures and takes precautions to establish a safe work environment.
- Maintains strict patient protocols in accordance with practice policies/ HIPAA requirements.
- Performs all duties to SoCal Eye’s Service Standards of Excellence and Teamwork.
- Performs other duties as assigned.
- Works Overtime, as necessary

Requirements:
- Education/Experience/Eligibility:
- High School diploma or equivalent required; advanced degree preferred
- Experience: At Least two (2) years-experience working at an ophthalmology or optometry clinic or Ambulatory Surgery Center required
- Minimum of two (2) years medical clerk or medical administrative experience required
- Use of standard medical office equipment, including, but not limited to computer, printer, copier, telephone, fax, and others electronics required
- Computer literate; Microsoft and email experience required
- Knowledge of medical terminology.
- Minimum of two (2) years-experience in computerized appointment scheduling, and electronic medical records software (EMR) required; Compulink preferred.
- Language: English required and Spanish required; multilingual a plus
- Good verbal/written communication, and language skills required
- License/Certification: Certified Medical Assistant, BLS Certification or similar preferred
- Must be able to sit for up to 8 hours, frequently reach with hands and arms, and repeat the same movements. Occasional standing, walking, and lifting to 25 lbs.
