Position Summary
This Casual Facility Use Scheduling Assistant provides operational support to the District's Facility Use team by assisting with district-wide field and facility scheduling, data coordination, and scheduling system maintenance. This role supports internal departments, school staff, and approved external user groups by ensuring scheduling requests are accurately entered, updated, and communicated in alignment with district policies and operational priorities.
This position works under the direction of the Facility Use & Systems leadership team and is part of the District's Operations Team.

Essential Duties And Responsibilities
The essential functions of this position may include, but are not limited to, the following fundamental duties.
- Provides customer service to all users in the facility and on the grounds and is a positive role model for respectful behavior and problem solving strategies.
- Be visible and present for facility and grounds users as the primary point of contact.
- Support data entry, updates, and maintenance within the district's facility scheduling platform
- Process and organize scheduling requests, seasonal field allocations, and schedule adjustments
- Communicate schedule updates and confirmations to internal departments and approved user groups
- Support coordination related to weather impacts, field availability, and seasonal transitions
- Assist with tracking usage hours, conflicts, and operational notes for Facility Use staff
- Provide administrative and scheduling support during peak scheduling periods (spring, summer, fall athletics and activities)
- Collaborate with Facility Use, Grounds, Activities, and Operations staff to support efficient scheduling workflows
- Perform other scheduling and operational support tasks as assigned
- Strong organizational skills with attention to detail
- Ability to manage multiple scheduling requests and deadlines
- Clear and professional written and verbal communication skills
- Comfortable working in web-based scheduling and data systems
- Ability to work independently while supporting a team-based operational environment
- Experience with scheduling, administrative support, or operations support preferred
- Office and computer-based work with frequent interaction across departments
- Position is non-supervisory
- Casual, non-benefited status; hours will be 11 hours per week, weekdays, during business hours.
- Schedule, including hours, may vary based on seasonal operational needs
- Attends staff meetings as needed.
- Demonstrates prompt, regular and reliable attendance.
- Performs all other duties as assigned.

- High School Diploma/GED.
- Proficient computer and technology skills required in Google apps, Excel, Word
- Strong interpersonal skills with a high focus on customer service.
- Strong organizational and time management skills.
- Maintain professional communication at all times.
- Ability to work accurately, independently and as a team member.
- Able to take initiative and problem solve within the guidance provided by the Facility Management Team.
- Strong verbal and written communication skills.
