Lakeview Behavioral Health is looking for a dependable and detail-oriented Access Front Desk Specialist to join our growing team. This position will be based three days per week in our Hibbing office and two days per week in Grand Rapids, with occasional coverage at all of our locations including Virginia, Brainerd, and Duluth as needed.
Working under the direction of the Access Front Desk/Registration Manager and Team Leads, this role is an important part of keeping our clinics running smoothly. The Access Front Desk Specialist is often the first point of contact for clients and visitors and plays a key role in ensuring a welcoming, organized, and efficient front desk experience. Responsibilities include managing client communications, scheduling appointments, provider schedule scrubbing and completing a variety of administrative tasks in a supportive, team-oriented environment.
Key Responsibilities:
- Develop and maintain a strong understanding of clinic policies, procedures, and operational protocols.
- Schedule and reschedule client appointments, ensuring optimal use of provider schedules.
- Answer and return calls.
- Verify and update client demographic information at each encounter and weekly schedule scrubbing to ensure accuracy.
- Oversee management of assigned provider requests, review schedules, follow up on no-shows, and help to maintain full provider schedules.
- Understand insurance, including deductibles, copayments, and eligibility. Ensure accurate data entry into the Electronic Medical Record (EMR).
- Process incoming and outgoing medical records requests in compliance with clinic practices and HIPAA standards.
- Handle incoming and outgoing faxes
- Foster a welcoming, supportive, and safe environment for all clients and staff
- Ensure compliance with federal, state, and internal regulations and policies relevant to job duties.
- Perform basic housekeeping tasks as needed to help maintain an organized and professional environment.
Qualifications:
- Must have a personal smartphone or similar device capable of running two-step authentication apps, required for secure access to companies EMR system.
- Previous experience in administrative or medical office settings with medical scheduling experience preferred.
- Must be at least 18 years of age.
- Ability to successfully pass a background study with the Minnesota Department of Human Services, Netstudy 2.0.
- Strong organizational skills and attention to detail.
- Excellent communication skills, both written and verbal.
- Ability to work independently and with a team.
- Ability to maintain confidentiality and adhere to HIPAA compliance standards.
- Proficiency in using office software such as google, basic office equipment such as laptop, scanner, printer, faxing and more.
- Reliable transportation to be able to go between Hibbing and Grand Rapids offices each week, along with the occasional travel to Virginia, Brainered and Duluth offices when front desk back up is needed.
Job Type: Full-time
Pay: $18.00 - $22.00 per hour
