YOUR ROLE
The Front Office Coordinator is the first point of contact for Lakes Property Management and serves as the central execution point for approved administrative and operational tasks. This role is customer-facing, execution-focused, and process-driven. You will ensure that residents, vendors, and staff receive timely, accurate assistance and that approved work is completed consistently and tracked to completion.
CORE RESPONSIBILITIES
Front Desk & Office Operations
- Greet all walk-in visitors promptly and professionally, creating a welcoming office environment
- Answer incoming phone calls courteously and route appropriately
- Process incoming and outgoing mail; manage packages, deliveries, and the office dropbox
- Maintain office organization, supplies inventory, and coordinate copier/printer service
Resident Enablement & Access Support
- Issue and track keys, parking passes, pool passes, and key fobs per policy
- Assist residents with portal sign-ups, payment enrollments, and automation tools
- Direct residents to the correct department for approvals and policy interpretation
Human Resources Support
- Assist employees with day-to-day questions
- Support HR manager
Proposal, Contract & Service Coordination
- Communicate with approved vendors; track responses and assemble complete proposal packets
- Log and route service requests, schedule vendor appointments and track completion
- Support Community Association Managers and Service Coordinator
Key Control & Access Management
- Maintain key control logs and inventories, and unit access in compliance with LPM Key Control policies
SCHEDULE & PHYSICAL REQUIREMENTS
- Work 40 hours per week, Tuesday to Friday
- Participate in evening and weekend on-call rotation for emergency response
REQUIRED QUALIFICATIONS
- High school diploma or equivalent
- Minimum of 2 years of experience in an administrative, front desk, or office coordinator role
- Excellent verbal and written communication skills
- Strong organizational skills with the ability to manage multiple priorities simultaneously
- Professional demeanor with a customer-first approach
- Proficiency with standard office software (Microsoft Office, email, and general database systems)
- Ability to handle confidential information with discretion and integrity
PREFERRED QUALIFICATIONS
- Experience in property management, HOA/community association management, or real estate
- Familiarity with property management software
- Experience with onboarding processes and basic HR administrative functions
- Bilingual abilities are a plus
