The Marketing Operations Specialist serves as the operational backbone of the Marketing and Communications team, managing the flow of work from initial request through final delivery. This role oversees intake, project trafficking, schedules, milestones, approvals, and status reporting across creative, content, communications, digital, and marketing initiatives. Working closely with department leaders and contributors, the Marketing Operations Specialist establishes realistic timelines, coordinates dependencies, identifies risks, and helps balance competing priorities. The role serves as the primary project manager for marketing and communications initiatives, with particular responsibility for coordinating creative and content production and maintains the systems and processes that support efficient, high-quality, on-brand work. Success is reflected in predictable delivery, clear accountability, strong visibility into team capacity, and consistent adherence to deadlines and approval requirements. The role also provides operational support for the content team by coordinating the scheduling and publishing of approved social media content.
Position Responsibilities Standard Work: Marketing Operations Specialist- Manage intake and trafficking of marketing and communications requests, clarifying scope, requirements, stakeholders, dependencies, and desired delivery dates before assigning projects to the appropriate workflow
- Manage creative, content, communications, digital, and marketing projects from initial brief through production, review, approval, and final delivery
- Develop and maintain project plans, schedules, milestones, and dependencies, establishing clear and realistic deadlines for contributors and reviewers
- Partner with department leaders to prioritize and balance work across the team, recommending resource adjustments and timeline changes as organizational priorities shift
- Serve as the department's Asana system administrator and workflow owner, maintaining request forms, templates, project structures, automations, dashboards, reporting, user practices, and process documentation
- Partner with the Director, Strategic Communications & Content to maintain the editorial calendar and coordinate deadlines, dependencies, reviews, and publication schedules
- Support the content team through the operational execution of approved social media content, including scheduling, publishing, and coordinating posts across channels in alignment with the editorial calendar and campaign timelines
- Coordinate schedules, deliverables, reviews, and approvals involving freelancers, vendors, and agency partners
- Facilitate project status meetings and provide clear reporting on schedules, deliverables, risks, capacity constraints, and unresolved decisions
- Identify and implement process improvements that increase speed, quality, and visibility across the team’s workflow
- Manage review and approval workflows to ensure deliverables receive appropriate brand, content, legal, compliance, clinical, and leadership review before release, as applicable
- Perform other duties as needed to support the priorities of the marketing and communications team
Essential:
- Advanced proficiency with Asana or a comparable enterprise work-management platform, including workflows, forms, templates, dashboards, reporting, and project governance. Experience using Asana is required
- Strong marketing traffic and workflow-management skills, with the ability to manage a high volume of concurrent projects
- Excellent organizational, prioritization, and time-management abilities with close attention to detail
- Clear and proactive communication skills, including the ability to establish expectations, document decisions, and promote accountability across teams
- Working knowledge of creative, print, digital, video, content, and editorial production workflows
- Experience with social media scheduling and publishing platforms (e.g., Sprout Social, Hootsuite, or native platform schedulers).
- Sound judgment and composure when priorities, deadlines, or stakeholder expectations conflict
- Strong analytical skills with the ability to identify workflow inefficiencies and recommend process improvements
- Ability to work effectively in a fast-paced environment while managing multiple priorities and stakeholders.
- Healthcare or regulated-industry marketing experience a plus

- 3-5 years of project management, traffic management, or account management experience within a marketing, communications, creative, or agency environment.
- Demonstrated hands-on experience managing projects in Asana (required).
- Experience managing creative and content production workflows, including coordinating writers, designers, and multi-channel deliverables.
- Experience developing project schedules, managing priorities, and coordinating cross-functional teams.
- Experience improving workflows, templates, reporting, or operational processes within a marketing or communications environment.
Experience Preferred:
- Prior experience working with freelancers and external agencies a plus.
- In-house marketing team and/or agency traffic experience strongly preferred; healthcare marketing experience a plus.
