Summary

Lake Shore Public Schools is seeking an organized, professional, and customer-focused Principal Secretary to join the team at Violet Elementary beginning with the 2026-2027 school year. This full-time position plays a vital role in supporting the administrative operations of the school while serving as the primary administrative assistant to the building principal. The successful candidate will be highly organized, proactive, and committed to providing exceptional service to students, families, staff, and the community. Professionalism, discretion, confidentiality, and strong communication skills are essential to fostering a positive and welcoming school environment.

Responsibilities

  • Provide comprehensive administrative and secretarial support to the building principal, including managing schedules, coordinating meetings, and handling correspondence.
  • Serve as the first point of contact for students, parents, staff, and visitors, creating a welcoming and professional office environment.
  • Answer and direct telephone calls, respond to inquiries, and relay messages accurately and courteously.
  • Prepare, copy, distribute, and maintain correspondence, reports, presentations, forms, and other school documents.
  • Maintain student information within PowerSchool, including enrollment, registration, attendance, student records, and required reporting.
  • Coordinate payroll for hourly employees and assist with timekeeping responsibilities.
  • Prepare purchase orders, process check requests, assist with budgeting activities, and maintain accurate financial records.
  • Monitor office supplies, inventories, and equipment to ensure efficient daily operations.
  • Organize and coordinate school events, meetings, and activities while communicating effectively with staff, families, and community members.
  • Receive, sort, and distribute incoming mail and prepare outgoing correspondence.
  • Maintain accurate records and files while safeguarding confidential student and employee information.
  • Evaluate office situations, resolve routine issues independently, and direct individuals to appropriate personnel when necessary.
  • Support the implementation of school and district policies, procedures, and initiatives.
  • Collaborate with teachers, support staff, and district personnel to ensure the efficient operation of the school office.
  • Perform other duties as assigned by the building principal or district administration.

Qualifications

  • High school diploma or equivalent required; associate's or bachelor's degree in business, office administration, education, or a related field preferred.
  • Previous experience as a secretary, administrative assistant, or office professional, preferably in a school or educational setting.
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Experience with PowerSchool or another student information system preferred.
  • Strong organizational, time management, and multitasking abilities with exceptional attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
  • Strong interpersonal skills and the ability to build positive relationships with students, families, staff, and community members.
  • Ability to prioritize responsibilities, solve problems independently, and work effectively in a fast-paced environment.
  • Knowledge of general office management procedures and school operations preferred.

  • Salary and benefits in accordance with the negotiated collective bargaining agreement.

  • Works in standard office and school building environments

  • Communicate successfully through writing and speaking with a variety of persons
  • Able to use a computer and related software with fingers and repetitive motions
  • Sit and stand extended periods of time; exhibit manual dexterity to dial a telephone, to enter data into a computer; to see and read a computer screen and printed material with or without vision aids; hear and understand speech at normal classroom levels, outdoors and on the telephone
