The Opportunity
As the Administrative Assistant, you will play a crucial role in enhancing the efficiency of our executive team at Lake Leaf. This position involves a wide range of administrative tasks from all areas of the company, such as Compliance & Risk, METRC, Human Resources, and Finance. Reporting directly to the Head of Human Resources and collaborating closely with other executive team members, this in-house position offers a dynamic work environment in a fast-growing organization.
What You Get to Do
- Perform diverse administrative functions, including scheduling interviews, adjusting timesheets, checking vendors in/out, receiving on mail, managing phone calls, scheduling meetings, and other duties as asked.
- Ensure efficient routing of phone calls to the appropriate department associates and provide information when possible.
- Assist in various operational administrative duties with professionalism, confidentiality, and courtesy.
- Establish and maintain an organized filing and retrieval system to support office functionality.
- Manage the contract administration process.
- Exhibit a high level of maturity, discretion, tact, and judgment when dealing with confidential matters.
- Maintain impeccable control, accuracy, and thoroughness in managing expenses, records, and reports.
- Under the guidance of executive leaders, support and oversee special projects.
- Initiate, manage, and complete various projects simultaneously with minimal supervision, demonstrating strong problem-solving skills.
- Provide organizational and communications support to the executive leaders, including preparing formal and informal correspondence, memos, and draft policy statements.

What Qualifies You (EDUCATION and/or EXPERIENCE:)
- High school diploma or general education degree (GED) and two years of administrative assistant experience; or equivalent combination of education and experience
- Experience working in a professional environment with an executive leadership team.
- Proven experience organizing and directing multiple teams and departments.
- Must be highly proficient in Microsoft Office programs including Excel, Word, PowerPoint, and Outlook.
- Must be able to secure a cannabis license.
- Mille Lacs Band Member and American Indian preference will be exercised in the hiring process.
Must Haves
- Ability to work with minimal supervision needed.
- Previous administrative/secretarial experience preferred.
- Ability to handle multiple tasks and maintain a high quality of work while experiencing frequent interruptions.
- Work experience in Zoom, Skype, Teams, or other modes of meetings
- Ability to maintain integrity of sensitive/confidential information.
- Strong communications skills are required, ability to maintain dialog and relationships with state department officials, Band officials, as well as the staff of Lake Leaf Cultivation.
