What are the responsibilities and job description for the Administrative Assistant to TRIO Program position at Lake Land College?

- Description
Will provide administrative assistance to the TRIO Student Support Services and TRIO Destination College Programs Directors staff and will serve as program receptionist.
- Description of Essential Functions (critical tasks)
Essential Job Functions:
- Remains informed of TRIO grant legislation and regulation on documentation
- Coordinates documentation of grant services, including budget information, statistical information, event summaries, and student documentation
- Compiles data for reports; provides information analysis for the Project Director to make necessary changes in project design/services for participants' needs
- Processes student applications for both projects
- Coordinates all accounts payable tasks
- Reviews purchases and prepare credit card reconciliations for both TRIO projects
- Greets visitors and provides information to the public, students, and staff
- Answers and directs calls from a multi-line digital phone system
- Oversee mailings of program materials and written correspondence to students
- Schedules appointments, sets up meetings, cultural events, campus tours and campus functions
- Prepare documents, prepares handouts for presentations, surveys and proof reads materials for mailing
- Maintains accurate up-to-date student records and database including documentation of participant eligibility, academic records, contracts, exit and follow-up information
- Revises program forms as needed
- Works with, trains, and supervises student workers
- Assists in preparations for special events, receptions, or ceremonies
- Develops queries and reports using database programs
- Maintains an accurate up-to-date inventory and check-out procedure for equipment and supplies
- Assist in preparing reports for LLC, US Department of Education, target schools, and communities to keep informed of programs progress
- Performs other related duties assigned by TRIO Project Directors
- Specific Functional Job Requirements
Education Requirements:
- Associate's Degree required.
Experience Requirements:- Minimum experience in an office setting; related experience in college setting preferred
Knowledge:- Business etiquette,general office procedures
Skills:- Excellent interpersonal,oral and written communication, organizational skills; Microsoft Office skills
Personal Requirements:- Detail-oriented, self-starter who enjoys relating to a diverse population of students, staff and public in a fast-paced work environment with multiple interruptions; freedom from racial/ethnic biases; background similar to that of the participants preferred; ability to maintain confidentiality of participants and staff information entrusted during the course of completing duties
