Job Overview
This position is responsible for aiding and overseeing administrative duties to the Training Bureau at the Lake County Sheriff’s Office.
ESSENTIAL DUTIES and RESPONSIBILITIES
- Create online training programs utilizing AI assistance
- Publish and maintain training courses on Power DMS
- Manages all administrative functions for Criminal Justice Standards & Training Commission (CJSTC) compliance
- Schedule and coordinate all appointments for the Training Bureau Commander
- Collect, open, and prioritize mail, answer and route correspondence, receive and screen all telephone calls, mail, in-person visits, and requests for meetings
- Meets with the Training Bureau Commander and Training Supervisors to review daily and upcoming activities
- Schedule and coordinate training, and assign a classroom if required, utilizing online scheduling software.
- Ensure training rooms are properly set up for meetings and classes
- Manages HR 218 qualification. Schedules and coordinates yearly qualifications; completes and maintains required paperwork
- Assist in registering personnel for Advanced/Specialized training classes, seminars, etc.
- Assist with Background Investigations and Equivalency of Training Assessments
- Operates office machines including computer, copy machine, fax machine, scanner, multi-line phone
- Completes yearly inventories and audits
- Review Use of Force statistics and completes end of year report summary
- Maintains and updates training records and FDLE ATMS profiles for all certified personnel

- Maintain necessary communication (email, telephone, in-person) with our FDLE Field Representative regarding ATMS entries and CJSTC compliance.
- Assist with in-person training record audits with the FDLE Field Representative
- Maintain e-mail and telephone correspondence, and scheduling for the LCSO Civilian Firearms Safety Course
ADDITIONAL DUTIES and RESPONSIBILITIES
- Ensure vehicle maintenance is scheduled and kept up for the Training Bureau pool vehicle
- Takes dictation, creates and drafts professional correspondences
- Compose professional letters/memoranda for Training Bureau Commander’s signature
- Attend meetings and record minutes as required
- Attend training sessions as required
- Monitors the status of outstanding assignments and projects and advises the Training Bureau Commander and/or unit Supervisors as required
- Aids Supervisors, Training Coordinators, and Instructors on special projects
- Make all registration, travel, and lodging arrangements for Training Bureau Personnel, and as appropriate, other instructional personnel. Prepare detailed travel itineraries and background materials
- Holds credit card receipts & completes billing paperwork for all Training Bureau Personnel
- Enters requisitions into Workday upon approval from the Training Supervisors
- Order and maintain stock of office supplies
- Make purchases with department issued credit card for supplies necessary for the Training Bureau

QUALIFICATIONS
EXTERNAL and INTERNAL RELATIONSHIP and COMMUNICATION REQUISITE
- General public to include private citizens and businesses and municipalities
- Various other contacts relevant to specific department assignment
EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED) is required. Three years of clerical experience is desired. Equivalent combination of education and experience may be substituted.
CERTIFICATES, LICENSES and REGISTRATIONS
- Must possess a valid Florida Driver’s License.
- Must Pass CJIS certification when required.
- Must obtain Notary Public certification within three months of acquiring position.
- Must be eligible to obtain General Instructor Certification through CJSTC
KNOWLEDGE, SKILLS and ABILITIES
- Must be able to comprehend and communicate fluently in verbal and written English
- Ability to read and comprehend simple instructions, short correspondence and memos
- Ability to write simple, professional correspondence
- Ability to effectively present information in one-on-one and small group situations
- Must have moderate computer skills to include word processing, spreadsheets, and the ability to learn specialized software applications (Power DMS, ATMS, Workday, etc.)
- Must be able to present a positive and professional image in person and over the phone
- Must be a self-starter and self-motivated
- Must be able to take initiative when assigned a task

WORK ENVIRONMENT
Work is performed in a standard office setting within the LCSO Training Center. The noise level in the work environment is usually moderate with occasional loud yelling during training exercises. Depending on assignment, the employee may be required to work long and/or irregular work hours, including evenings and/or weekends.
