The Surgery Scheduler is responsible for coordinating and scheduling surgical procedures for providers within the practice. This role ensures all required documentation, insurance authorizations, patient instructions, and facility communications are completed accurately and in a timely manner. The Surgery Scheduler delivers exceptional patient service while managing multiple priorities in a busy clinical environment.
Essential Duties & Responsibilities
Surgical Coordination & Scheduling
Schedule all surgical procedures for assigned providers, ensuring accuracy and timely communication.
Confirm provider availability, block times, and surgical facility requirements.
Communicate surgery details to patients, facilities, and internal teams.
Insurance & Authorization
Obtain prior authorizations for surgeries, imaging, and pre-operative testing.
Verify patient insurance benefits and eligibility.
Document authorization numbers and coverage details in the EMR.
Patient Communication
Educate patients on pre-operative and post-operative instructions.
Provide surgery packets, prep instructions, and required forms.
Serve as the main point of contact for patient questions regarding their procedure.
Documentation & Compliance
Ensure all documentation, labs, imaging, and provider orders are completed and uploaded before surgery.
Maintain accurate and organized surgery logs, calendars, and checklists.
Follow HIPAA and OFAS confidentiality standards at all times.
Coordination With Providers & Facilities
Communicate regularly with surgeons regarding scheduling needs and any changes.
Work directly with hospitals, surgery centers, and other facilities to secure dates, times, and necessary documentation.
Notify facilities and providers immediately of cancellations, reschedules, or urgent cases.
Administrative Support
Track and follow up on workers’ compensation and auto-claim requirements when applicable.
Prepare letters of medical necessity when requested.
Maintain accurate records to ensure proper billing and coding processes.
Qualifications
Required
High school diploma or equivalent.
One year of experience in a medical office or scheduling role.
Strong communication and organizational skills.
Ability to multitask in a fast-paced environment.
Strong attention to detail and accuracy.
Proficiency with computers and medical office software.
Preferred
Experience in surgery scheduling or a specialty medical practice (orthopedics, podiatry, etc.).
Knowledge of medical terminology, insurance processes, and prior authorizations.
Experience with EMR systems.
