About the Role
Lake Assault Boats is looking for a Temporary Administrative & Materials Coordinator to support our Virginia team. This is a great opportunity for someone who enjoys variety, thrives in a fast-paced environment, and wants to play a key role in keeping operations running smoothly.
This position is expected to last at least 12 weeks, with the potential to extend depending on business needs. While temporary, this role is highly impactful and fully integrated into our day-to-day operations.
Important Travel Requirement
The selected candidate will be required to travel to Superior, Wisconsin for one week of onboarding and training. This hands-on training will provide exposure to company systems, processes, and key team members to ensure success in the role.
Key Responsibilities
- Provide administrative support to ensure efficient office operations
- Answer phones, coordinate schedules, and support visitors as needed
- Perform general administrative duties (filing, scanning, document preparation, etc.)
- Manage purchasing activities including RFQs, purchase orders, and vendor communication
- Track shipments, resolve backorders, and coordinate receiving and invoicing corrections
- Work closely with Accounts Payable to ensure accurate PO processing and documentation
- Maintain and update inventory and materials data within systems
- Prepare and process invoices, including government contract billing and sales order closeouts
- Track credit card purchases and reconcile receipts with Accounting
- Coordinate shipping of parts to domestic and international customers
- Provide support for safety initiatives, including reporting and audits
- Assist with warranty-related customer needs and service coordination
- Support HR-related inquiries at the local level as needed
Qualifications
- High school diploma or equivalent required
- Prior experience in an administrative, purchasing, or coordination role preferred
- Strong organizational skills with attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Excellent communication and interpersonal skills
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Experience with ERP systems (Viewpoint or similar) is a plus
Additional Requirements
- Ability to pass a background check, motor vehicle report, and drug/alcohol screening
- Ability to work in a manufacturing environment, including moderate physical activity (walking, stairs, lifting up to 50 lbs)
