Responsibilities
- Greet visitors and clients in a friendly and professional manner
- Manage multi-line phone systems, route calls, and take messages accurately
- Schedule appointments and maintain calendars using Google Workspace or Microsoft Office tools
- Perform data entry, filing, and document proofreading to ensure accuracy
- Handle incoming and outgoing correspondence via email and postal mail
- Maintain a clean and organized front desk area
- Assist with office management tasks such as supply inventory and basic bookkeeping using QuickBooks or similar software
- Provide excellent customer support by addressing inquiries promptly and courteously
- Support administrative functions including typing, document preparation, and calendar management
- Uphold phone etiquette standards while managing busy reception areas
Requirements
- Proven experience in office management, clerical work, or as a receptionist, preferably in medical or dental settings
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
- Experience with multi-line phone systems and excellent phone etiquette
- Bilingual abilities are highly desirable to serve diverse clientele effectively
