GENERAL DESCRIPTION
Our nonprofit organization is seeking a Volunteer Coordinator who is passionate about our mission and is invested in managing and coordinating a diverse group of talented volunteers. The ideal candidate will be a skilled communicator with the ability to work both independently and collaboratively. This position requires a person with the skills to balance the administrative aspects of the role along with the interpersonal aspects, including conducting group volunteer training programs and public outreach initiatives. LACASA utilizes volunteers in a variety of areas—some prefer to work directly with clients in specific program areas, while others thrive when assisting with office and clerical duties, working in our charity resale store, or volunteering at our awareness and fundraising events. The Volunteer Coordinator will foster strong relationships with our volunteer team and identify where their talents will be best utilized. In addition, the candidate will be enthusiastic about recruiting new volunteers. Due to the confidential nature of our programs and services, all volunteers are required to be appropriately screened, vetted, matched, and trained according to agency policies.
QUALIFICATIONS
The chosen candidate will be comfortable interacting, nurturing and guiding volunteers of all ages and from all backgrounds. They will have the ability to perform with limited direction and respond to shifting priorities according to agency needs. This position requires above average time management, problem solving and organizational skills. Strong project management and writing abilities are essential to produce department strategic plans, reports, and volunteer communications on deadline. Candidates must be proficient in Microsoft Office and comfortable with implementing and utilizing various data management systems. Previous experience with recruiting, volunteer management, or coordination of large diverse groups is highly desired. A high school diploma or GED equivalent is required; a Bachelor’s degree preferred. Must be a minimum of 18 years old, have a valid driver’s license, and reliable transportation.
This is a full time, in-person position with a flexible schedule that requires some evening and weekend hours required to attend and coordinate volunteers during special events.
RESPONSIBILITIES
· Recruit, screen, train, place and supervise volunteers for LACASA Center and the LACASA Collection, our unique charity resale boutique
· Maintain and retain strong, enthusiastic volunteer base through regular engagement, communication and appreciation for all volunteers
· Collaborate with businesses, schools, organizations, faith-based groups and court-based programs in recruiting and utilizing community service volunteers
· Source volunteer groups and community service workers for the agency’s varying needs through attendance at volunteer fairs, outreach to various community groups, and utilization of available technology including social media and email marketing
· Chair our Volunteer Appreciation Committee; coordinate and participate in regularly scheduled efforts to recognize volunteers
· Maintain accurate volunteer data management system compatible with existing donor management system; work in concert with LACASA’s development and communications teams to ensure volunteer information is documented, shared and efforts are not duplicated
· Onboard interns to meet agency’s clinical need
· Maintain volunteer files in accordance with funder requirements and agency policies
· Work collaboratively within agency to ensure volunteer-related program needs are met
· Collaborate with intra-agency programs and coordinate training opportunities when appropriate
· Network and represent LACASA at the Livingston County Volunteer Coordinator Coalition and sister agency volunteer coordinator meetings; actively consult with volunteer coordinators in similar/non-profit agencies around the State; attend meetings where appropriate.
· Review and modify volunteer policies and procedures annually to ensure alignment with best practices
· Develop and implement retention plan including an annual volunteer appreciation event
· Write, publish and distribute monthly volunteer newsletter
· Perform clearance checks and maintain volunteer files in accordance with funder requirements and agency policies
· Provide supervision for all direct service and indirect service volunteers and ensure annual evaluation of and from volunteers
· Manage reception volunteer schedule and address ongoing training needs
· Schedule, communicate and manage all LACASA event volunteers
· Update and maintain online training site for continuing education credits for ongoing volunteers
· Design and facilitate multi-tiered training courses using cutting-edge technology for various volunteer positions throughout the agency; conduct ongoing assessment to identify training needs
· Maintain a safe environment for staff, clients, volunteers and the community
· Collect and analyze volunteer statistics and report monthly, quarterly and annually as required
· Participate in and prepare for various audits as requested
PHYSICAL REQUIREMENTS
Prolonged periods of utilizing a computer to complete required paperwork
Prolonged periods of movement and navigating venues when attending and supervising volunteers at our community awareness events and fundraising events
Must be able to lift and carry a minimum of 40 lbs. on occasion
