Staffing Specialist I,
is an entry-level, transitional role focused on learning the fundamentals of the branch operations and supporting the day-to-day functions of the branch and entity. As the first point of contact for both external employees and clients, the Staffing Specialist I, is also responsible for responding to inquiries, resolving issues, and communicating job details clearly and efficiently.
This position plays a foundational role in promoting high-quality service by assisting with candidate intake, onboarding processes, and dispatching external employees while supporting various administrative and operational duties to ensure timely job placements and accurate documentation.
Success in this role requires a proactive sense of urgency, strong attention to detail, the ability to prioritize multiple tasks in a fast-paced work environment, interpersonal skills, active listening, and strong interpersonal abilities.
General Responsibilities:
The Staffing Specialist I reports directly to the Branch Manager.
Descriptions and Functions
Essential Functions and Responsibilities:
Assist applicants with the initial onboarding process to ensure a smooth transition, including gathering, which may include an applicant tracking system (ATS), completing paperwork, and scheduling assessments to evaluate candidates’ skills and conducting interviews.
Support the dispatch process by helping coordinate job assignments and confirming external employees’ availability.
Streamline communication on worksite location or job details to external employees by phone, text, or email
Answer incoming calls, route callers to the correct department or individual, timely respond to messages and call backs.
Input applicant and job order information into the database accurately.
Perform administrative tasks, engage in office duties such as printing, copying, scanning, filing and organizing documents.
Performing outside sales (cold calling, follow-up calls, customer visits, building sales prospect database).
Building and enhancing customer relationships through direct sales activity.
Quoting prices, within authority.
Onsite visits for jobsite analysis for safety
Support customer service efforts by engaging courteously with external employees and clients to relay messages or gather feedback.
Assist with preparing supplies for external employees such as PPE and worksite instructions.
Help track and verify time collection processes as directed by the Branch Manager.
Process tickets, reconcile equipment/advances, and ensure proper documentation before issuing paychecks.
Participate in weekly and daily administrative duties that support branch performance.
Perform any other duties as assigned.
