WHO WE ARE LOOKING FOR

 

We are seeking a detail-oriented, compliance-driven, and data-focused professional to serve as the Special Education PEIMS Specialist. This role provides districtwide coordination, monitoring, and oversight of special education data reporting to ensure compliance with TEA, IDEA, and state accountability requirements.

The Specialist ensures accuracy of PEIMS submissions, coding of special education services, instructional settings, disability categories, timelines, and related program indicators. This role collaborates closely with Special Education leadership, campus administrators, diagnosticians, related services staff, Research & Accountability, and Information Technology to ensure data integrity and compliance.

 

The ideal candidate has experience with special education data systems, PEIMS reporting requirements, and ARD/IEP documentation, and demonstrates strong analytical and organizational skills.

 

MAJOR DUTIES & RESPONSIBILITIES

  1. Program Coordination & Compliance
  • Coordinate and oversee districtwide special education PEIMS data collection and reporting processes.
  • Ensure all special education data submissions align with TEA PEIMS standards and reporting timelines.
  • Monitor compliance with federal and state reporting requirements related to IDEA and special education.
  • Develop and maintain procedures and internal controls to ensure accurate coding of disability, instructional setting, service minutes, and program indicators.
  • Serve as liaison between Special Education, PEIMS Department, Research & Accountability, and TEA regarding special education data submissions and inquiries.
  1. Data Management & Reporting
  • Oversee accuracy and completeness of special education PEIMS coding, including disability eligibility, instructional setting, service information, related services, and timelines.
  • Conduct internal audits of special education data prior to snapshot and submission deadlines.
  • Monitor changes in special education status, eligibility, and service delivery to ensure accurate reporting.
  • Analyze PEIMS data to identify discrepancies, trends, and compliance risks.
  • Develop reports and dashboards to support leadership decision-making.
  • Support reconciliation of special education enrollment, funding, and program participation data.
  1. Compliance Monitoring & Program Accountability
  • Conduct regular data reviews to ensure compliance with IDEA, TEA, and district reporting requirements.
  • Monitor compliance indicators related to evaluation timelines, ARD timelines, and special education coding.
  • Identify data discrepancies and collaborate with campuses to correct errors prior to submission.
  • Maintain accurate documentation and audit trails for all submissions.
  • Support district readiness for TEA audits, monitoring reviews, and data validation requests.

  1. Training, Technical Assistance & Capacity Building
  • Provide training and guidance to campus PEIMS clerks, diagnosticians, special education staff, and administrators on special education coding requirements.
  • Develop user-friendly guidance documents, checklists, and job aids related to PEIMS reporting.
  • Provide technical assistance regarding coding questions, data corrections, and reporting requirements.
  • Support campuses in maintaining accurate and timely special education documentation aligned to PEIMS standards.

  1. Collaboration & Cross-Department Coordination
  • Collaborate with Special Education leadership to ensure accurate alignment between ARD/IEP decisions and PEIMS coding.
  • Coordinate with Research & Accountability, IT, and PEIMS departments to ensure data integrity across systems (e.g., IEP software and student information systems).
  • Work with Human Resources to ensure accurate reporting of special education staffing and service providers, as applicable.
  • Support districtwide initiatives aligned to funding, compliance, and program improvement.

  1. Audit Preparation, Monitoring & Reporting
  • Prepare documentation and reports for TEA data validations, audits, and monitoring visits.
  • Compile requested documentation and respond to state inquiries related to special education PEIMS submissions.
  • Support development and implementation of corrective action plans related to data findings.
  • Maintain required documentation in accordance with state and federal retention guidelines.
  1. Team Support & Continuous Improvement
  • Support districtwide data accuracy and continuous improvement efforts.
  • Identify opportunities to strengthen data systems and reporting processes.
  • Maintain current knowledge of TEA PEIMS requirements, special education reporting updates, and accountability measures.
  1. Other Duties as Assigned

 

QUALIFICATIONS

Education / Certification

  • Bachelor’s degree required (Education, Special Education, Business, Data Management, or related field)
  • Bilingual (English/Spanish) preferred

Experience

  • At least three (3) years of experience in special education, PEIMS reporting, student data systems, or compliance-related role preferred
  • Experience with ARD/IEP processes and documentation preferred
  • Experience with TEA PEIMS submissions and student information systems preferred
  • Experience working in Texas public schools preferred

 

Special Knowledge & Skills

  • Knowledge of TEA PEIMS requirements and special education data reporting standards
  • Knowledge of IDEA and special education compliance requirements
  • Strong data analysis, auditing, and documentation review skills
  • Strong organizational skills and attention to detail
  • Ability to interpret complex reporting requirements and translate them into clear local procedures
  • Strong communication and training skills
  • Ability to collaborate across departments
  • Proficiency in Microsoft Office and student information systems

WORKING CONDITIONS

 

Work is performed in both office and campus environments. Frequent campus visits required.


May require light lifting (under 20 pounds). Frequent sitting, standing, walking, computer use, and presentations.
