SUMMARY
The Director of Facilities & IT is a senior leadership role reporting to the President and serving on the Senior Staff. This position leads strategic planning for venue operations and technology infrastructure at The Conrad Prebys Performing Arts Center, working closely with the CEO and Board Tech Committee on long-term capital planning, maintenance forecasting, IT systems development, and venue sustainability.
In addition to high-level oversight, the Director is a hands-on participant who works side-by-side with the Facilities Manager and Coordinator, serving as a guide, collaborator, and support. With the facilities team managing a high volume of projects, the Director will be active in the building, helping to prioritize tasks, coordinate vendor relationships, and ensure projects are completed efficiently and to the highest standards. Serving as a filter for needs from other departments, this role is about lifting the team and empowering staff to grow while ensuring the venue remains event-ready and operationally excellent.
The Director also contributes to broader organizational strategic planning, aligning facilities and IT systems with artistic goals, administrative workflow, and audience experience. By integrating infrastructure into mission-driven decision-making, the Director helps ensure The Conrad remains a resilient, innovative, and future-ready institution.
JOB DESCRIPTION
DIRECT REPORTS/TEAM
- Direct report: Facility Manager
- Full team includes Facility Coordinator, Security Guard, and various contract vendors including custodial and security.
VENUE MAINTENANCE & FACILITIES RESPONSIBILITIES (40%)
- Lead longterm operations, capital and maintenance planning, and technology infrastructure, working closely with the CEO on forecasting, system development, and sustainability.
- Manage short and longterm capital and maintenance schedules for financial planning purposes, under advisement of the Board Tech Committee, which provides support in budget review and approval.
- In partnership with the Facility Manager and Facility Coordinator, lead the care and maintenance of The Conrad’s building and grounds.
- Work in parallel with the department regarding operations and maintenance of all major building systems including scheduling repairs, services, renovations, and inspections.
- Lead the development and execution of preventative maintenance and life cycle planning for building systems and equipment; recommend best practices for continuous improvement.
- Work in conjunction with the Facilities Manager to manage vendor relationships.
- Administer parking operations in partnership with ACE Parking, including the acquisition, replacement, and troubleshooting of staff parking passes.
- Monitor and process departmental financial activity, including purchases, check requests, and credit card reconciliations.
- Collaborate with the Finance Director to develop and manage annual department budgets.
- Ensure that schedules for major maintenance projects and onsite vendor work that may cause disruption or changes to daily operations are communicated to all internal or external parties.
EVENT COORDINATION & EXECUTION (40%)
- Partner with the Production and Technical teams to coordinate nonstage related room setup, furniture, and equipment needs; oversee resets for concerts, rentals, board meetings, and engagement activities.
- Collaborate with other departments and the full Facilities team to ensure that eventspecific facilities needs are clearly identified and met.
- Communicate with Facilities team to ensure schedules for housekeeping and security are accurately created and sent out in advance of all events.
- Create and participate in the staff rotation for building opening and closing duties, ensuring proper procedures are followed.
- Actively participate in meetings to review production schedules for all upcoming performances.
- Participate in the rotation to provide Facilities support for events, including event and furniture setup, preparing the catering kitchen, and ensuring all public spaces are clean and patron ready.
- Other duties as assigned.
IT RESPONSIBILITIES (10%)
- Partner with IT vendors to ensure the security, reliability, and performance of all computers, servers, phones, networking, and digital data systems.
- Develop and manage capital upgrade strategies for IT systems at The Conrad.
- Collaborate with HR and Xceptional to manage IT requirements for staff onboarding and offboarding, including desks, phones, email, database access, and building access.
- Work closely with the Technical Director to oversee the overlap and coordination between building IT and theatre tech IT to ensure seamless integration.
TEAM LEADERSHIP & SUPERVISION (5%)
- Support the professional development of the Facilities team by looking for growth opportunities such as training, workshops, certifications, conferences, etc.
- Ensure the Facilities team has, or is working to have, all necessary certifications and training including but not limited to CPR & First Aid, Food Handlers, Crowd Management, etc.
- Strengthen the team’s knowledge management by creating and communicating standard operating procedures, passing down industry knowledge from past experiences to deepen each team members’ skillset.
SECURITY & SAFETY (5%)
- Collaborate with the Facilities team to manage safety, schedules, and protocols including overseeing camera systems, keycard access, safe egress, fire alarms, AED maintenance, and staff safety trainings.
- Support the Facilities Coordinator in security scheduling for all events at The Conrad, including concerts, galas, learning & engagement activities, and rentals, ensuring schedules are communicated in advance.
- Ensure The Conrad’s full compliance with the Americans with Disabilities Act (ADA), representing The Conrad with local authorities on matters of safety and security.
QUALIFICATIONS
- Minimum 68 years of experience in facilities management or building operations.
- Minimum 68 years of experience HVAC, Plumbing, Carpentry, Electrical, Architectural lighting, and control systems.
- Strong project management and budgeting skills.
- Excellent communication and organizational skills.
- Familiarity with public safety requirements and emergency protocols.
- AutoCAD experience preferred.
- Experience working or managing performing arts venues preferred.
- Ability to lift up to 50lbs.
- Willingness to work nights and weekends.
PREFERRED CERTIFICATIONS
- EPA Universal certification.
- NFPA 80 Fire Door Inspection certification.
- Kitchen Protection Manager certification.
- OSHA 30
- First Aid, CPR, and BLS.
- Scissor Lift certification.
- CFM or AFE Certified Plant Engineer (CPE) or equivalent.
- CFPS or Certified Fire Code Official (F6).
