La Grange Window Coverings is looking for a warm, highly organized, dependable Office Manager / Client Concierge to manage the daily flow of our beautiful Windsor showroom and office.

This is a trusted, hands-on position for someone who enjoys keeping a business organized, communicating with clients, managing financial details, and making sure nothing falls through the cracks. You will work directly with owner and lead designer Veronica Thompson, helping her stay focused on client consultations, design work, and growing La Grange’s presence throughout Sonoma County.

The ideal person is professional and personable, naturally attentive to detail, comfortable with technology, and able to communicate confidently with homeowners seeking a premium level of service. You do not need to be a window-treatment expert when you begin. We are happy to teach the right person about Hunter Douglas products, custom blinds, shades, shutters, motorization, and the window-covering industry.

What you will be responsible forClient communication and appointment coordination

  • Answer and manage the primary business phone line with warmth, confidence, and professionalism.
  • Respond promptly to new leads received through the La Grange website, social media, online advertising, local business listings, and other marketing platforms.
  • Gather the basic information needed to understand each prospective client’s project.
  • Schedule consultations for Veronica and maintain an accurate, well-organized appointment calendar.
  • Confirm appointments, handle rescheduling, and provide timely follow-up when a client needs additional information.
  • Maintain clear notes so the owner always knows where each lead and client stands.
  • Greet showroom visitors and create a welcoming, elevated first impression.
  • Communicate basic process and product information as your knowledge develops.

QuickBooks, invoicing, and accounts receivable

  • Use QuickBooks to prepare, send, organize, and track client invoices.
  • Record customer payments, deposits, and other financial activity accurately.
  • Monitor accounts receivable and identify outstanding balances requiring follow-up.
  • Send courteous, professional payment reminders when necessary.
  • Organize receipts, vendor documents, customer records, and transaction information.
  • Maintain clean, current records for the owner, bookkeeper, or accountant.
  • Help ensure that financial tasks are completed consistently and on schedule.

Showroom and daily office management

  • Help open, prepare, organize, and close the showroom.
  • Keep the showroom, consultation areas, sample displays, and front office looking clean, organized, and presentation-ready.
  • Maintain office supplies, forms, product literature, sample books, and basic showroom inventory.
  • Receive packages, organize deliveries, and notify the appropriate team member when materials arrive.
  • Maintain organized digital and physical client files.
  • Help track orders, documents, customer updates, and other administrative details.
  • Protect confidential client and company information.
  • Identify administrative problems early and take initiative to resolve them.

Lead management and online presence

  • Maintain an accurate lead tracker, CRM, spreadsheet, or other follow-up system.
  • Keep website inquiries and advertising leads from being overlooked.
  • Track lead source, contact attempts, appointment status, and next steps.
  • Monitor and respond appropriately to social media and business-profile messages.
  • Help maintain accurate business hours, contact information, photos, and service information across online listings.
  • Assist with basic social media or business-profile updates when assigned.
  • Support follow-up efforts that help turn inquiries into scheduled consultations.

Direct support for the owner

  • Communicate directly with Veronica throughout the workday regarding appointments, priorities, client questions, invoices, and follow-up items.
  • Maintain a clear daily task list and provide concise updates on completed and outstanding work.
  • Handle reasonable day-to-day business tasks and changing priorities assigned by the owner.
  • Use good judgment to determine what requires immediate attention and what can be scheduled.
  • Complete occasional local business errands when needed.
  • Take ownership of responsibilities rather than waiting to be reminded about every step.

This is primarily a showroom-based position

The Office Manager / Client Concierge will be based in La Grange’s Windsor storefront. You will not ordinarily be expected to attend in-home design consultations or client sales appointments. Your role is to coordinate those appointments, support the owner, maintain communication with clients and leads, and keep the showroom and back-office operation running smoothly.

What success looks like in this role

  • New calls and online leads receive a prompt, professional response.
  • Consultations are scheduled accurately and confirmed in advance.
  • Follow-up commitments are completed and documented.
  • Invoices, payments, and accounts receivable information remain current.
  • The showroom is consistently organized, welcoming, and ready for visitors.
  • Veronica receives clear updates without needing to repeatedly request information.
  • Clients experience responsive, high-touch service from their first contact onward.
  • Daily priorities are handled calmly, accurately, and with minimal supervision.

Required qualifications

  • Demonstrated experience in office administration, bookkeeping support, client service, scheduling, hospitality, boutique retail, a design showroom, real estate, professional services, or a similar environment.
  • Strong organizational skills and exceptional attention to detail.
  • Excellent telephone, written, and in-person communication.
  • Confidence communicating with discerning clients in a professional and welcoming manner.
  • Strong computer skills and the ability to learn new platforms quickly.
  • Comfort using email, shared calendars, spreadsheets, digital forms, online lead systems, and social or business-listing platforms.
  • Ability to manage multiple priorities without losing track of important details.
  • Ability to work independently while maintaining close communication with the owner.
  • Consistent, dependable availability during the agreed schedule, including required afternoon coverage through closing.
  • Legal authorization to work in the United States.

Strongly preferred, but not required

  • QuickBooks or QuickBooks Online experience.
  • Experience preparing invoices and managing accounts receivable.
  • Experience responding to online leads and scheduling appointments.
  • Experience in a luxury showroom, interior design business, home-services company, boutique retailer, hospitality business, real estate office, dental or medical front office, or other high-touch client environment.
  • Familiarity with Hunter Douglas, window treatments, interior furnishings, motorized shades, or home design.
  • Knowledge of Sonoma County and enthusiasm for helping grow a locally owned business.

Candidates with comparable bookkeeping software experience and the ability to become proficient in QuickBooks quickly are encouraged to apply. Previous Hunter Douglas or window-treatment experience is valuable but not required.

Physical and transportation requirements

  • Ability to occasionally receive, organize, lift, or move product samples, displays, packages, or showroom materials weighing up to 50 pounds, with or without reasonable accommodation.
  • Valid driver’s license and a driving record acceptable for occasional local business errands.
  • Reliable transportation to the Windsor showroom.
  • Ability to work on-site; this is not a remote or hybrid position.

Compensation

Starting compensation is $23.00 per hour. A higher starting rate may be offered based on directly relevant experience, particularly in:

  • Showroom or boutique operations
  • Interior design, home furnishings, or window treatments
  • Small-business office management
