Description
Idaho State University is seeking a dependable, organized, and service-oriented Part-Time Office and Events Assistant to provide general administrative, front-office, event, and project support for the College of Pharmacy and Health Professions.
This position will help support the day-to-day operations of the Dean’s Office, including maintaining the front desk, welcoming and assisting visitors, providing general office support, assisting with special projects and initiatives for the Dean’s Office, and supporting College events and engagement activities.
The ideal candidate is professional, personable, highly organized, detail-oriented, and comfortable managing a variety of responsibilities in a busy academic office environment.
Responsibilities
- Maintain and provide coverage for the Dean’s Office front desk, creating a welcoming and professional environment for students, faculty, staff, visitors, and community partners.
- Greet and assist visitors, answer general questions, provide directions and information, and connect individuals with the appropriate College personnel or resources.
- Provide general administrative and office support, including preparing documents and materials, organizing files, maintaining records, copying/scanning, data entry, and other routine office functions.
- Assist the Dean’s Office with special projects, initiatives, and other assignments as needed.
- Assist with College event planning and logistics, including setup and breakdown, catering, technology/AV, materials preparation, room arrangements, and vendor coordination.
- Support on-site event operations, including guest check-in, distributing materials, assisting presenters and guests, and troubleshooting logistical needs.
- Maintain event schedules, run-of-show documents, calendars, and other planning materials; track RSVPs, registrations, and attendance.
- Assist in creating invitations, announcements, signage, promotional materials, and other communications for College events and activities.
- Organize and maintain office and event records, files, materials, and supplies; monitor inventory and assist with ordering as needed.
- Assist with processing invoices, cash vouchers, donations, and other routine administrative transactions.
- Assist with post-event follow-up, evaluations, documentation, and reporting.
- Provide administrative and logistical support for meetings, special visitors, College activities, and other Dean’s Office functions.
- Perform other related administrative, office, event, and project duties as assigned.
Qualifications
- Proficiency with Google Workspace, including Gmail, Docs, Sheets, Forms, and related applications.
- Experience with design software such as Canva or Adobe Express preferred.
- Excellent organizational and time-management skills.
- Strong attention to detail and accuracy.
- Ability to manage multiple responsibilities and prioritize tasks effectively.
- Excellent communication, interpersonal, and customer-service skills.
- Professional and welcoming demeanor when interacting with students, employees, visitors, and external partners.
- Ability to work independently and collaboratively as part of a team.
- Ability and willingness to occasionally work evenings or weekends for scheduled College events.
- A valid driver’s license and reliable transportation are required.
