As a Patient Coordinator, you’re the heart of the patient experience! You’ll be the friendly face and reassuring voice that welcomes patients into our practice, setting the tone for a positive and professional visit. This role is all about creating seamless check-in and check-out experiences while managing a variety of key administrative and clerical tasks that keep our office running smoothly. Your role isn’t just about handling logistics; it’s about building trust and a sense of comfort for each patient, from their first hello to their final farewell.

Working closely with both clinical and administrative teams, you’ll play a central role in supporting our collaborative environment. As the go-to person for patient questions and needs, you’ll help ensure every visit feels effortless, every detail is managed with precision, and every patient leaves feeling cared for and informed. Supervisory Responsibilities

Patient Coordinators work closely with both the Patient Services Manager for administrative needs and the Clinical Manager for operational support. This role does not include supervisory responsibilities.

Essential Functions

Our Patient Coordinators excel in delivering outstanding patient service and bring an enthusiastic, detail-oriented approach to each of their duties:

  • Engage Patients and Colleagues: Provide friendly, high-quality service to patients, coworkers, and vendors alike.
  • Patient Information Management: Collect and update demographic and registration information accurately in our system.
  • Practice Management: Utilize our practice management software to manage patient records and appointments seamlessly.
  • Resource and Educator: Act as a knowledgeable resource, answering questions on authorizations, insurance, and facility locations, or promptly consulting with staff to provide timely information.
  • Billing Support: Serve as a cashier for clinic and optical charges, ensuring payment collection at time of visit.
  • Insurance and Eligibility Checks: Verify patient insurance details and eligibility for a smooth check-in process.
  • Appointment Scheduling: Arrange follow-up appointments and consultations, coordinating with specialists as needed for check-out patients.
  • Office Opening and Closing: Manage opening duties, coordinate with team members as needed, and ensure a smooth and accurate closing process, including balancing the cash drawer.
  • Banking and Deposits: Oversee daily deposits and coordinate banking needs.
  • Cross-Location Support: Step in to assist at other locations as needed, bringing support and consistency across our practices.

Work Environment

  • Public/Patient environment with typical public and patient exposure and scenarios.

Physical demands/potential hazards

  • Required to maintain a physical condition consistent with bending, lifting, stacking, and rotating daily for prolonged periods. Required to lift and move items 50 pounds and/or unusually shaped equipment.
  • Must be able to walk, stand, and move around for the majority of the day; may be required to lift equipment up to 50 pounds and assist patients with physical mobility.

Education and experience

  • High School Diploma or G.E.D required

Additional Eligibility Requirements

  • Previous Ophthalmology or medical office experience desired

Work authorization/security clearance requirements

Must be authorized to work in the US
