We are looking for a reliable and detail-oriented Bookkeeper & office support to join our team. This role combines bookkeeping responsibilities with general administrative support, ensuring smooth day-to-day operations in both finance and office management. The ideal candidate is organized, proactive, and comfortable balancing accounting tasks with administrative duties.
Bookkeeping Duties
- Enter and process vendor invoices into Bill.com and QuickBooks.
- Reconcile vendor statements, identify missing invoices/credits, and verify tax exemptions.
- Match and reconcile monthly credit card statements in QuickBooks.
- Collect and organize time and material data for billing work orders.
- Assist with customer invoicing, follow-ups on outstanding payments, and deposits into QuickBooks (including savings transfers).
- Reconcile monthly bank statements.
- Prepare end-of-month cost reports for larger projects.
- Assist with insurance claims, workers’ compensation, and capital improvement forms.
Backup Administrative Support
- Submit invoices and maintain company records in Microsoft Teams.
- Follow up on contracts for new jobs to ensure no work begins without proper documentation.
- Assist with change orders, work order billing, and job tracking with project managers.
- Support leadership with data entry, document management, and ad hoc administrative tasks.
- Provide backup general office assistance to keep operations running smoothly.
Salary 65,000-75,000
