Executive Coordinator
We are seeking an Executive Coordinator who thrives in a challenging, fast-paced team environment. Extensive contract manufacturing experience and experience working with suppliers in Asia are strongly preferred. Professional fluency in Mandarin Chinese is also strongly preferred due to frequent communication with overseas suppliers. Advanced Excel proficiency is required.
Job Duties and Responsibilities
Reporting to the VP of Operations, the Executive Coordinator will oversee cross-functional initiatives across the Accounting, Operations, and Sales departments, ensuring projects are executed efficiently, aligned with business objectives, and delivered on schedule.
- Lead cross-functional meetings with key stakeholders and communicate project priorities, risks, timelines, and progress updates across departments.
- Manage projects through the full lifecycle, including initiation, planning, execution, monitoring, and closeout, to ensure objectives are achieved within established timelines.
- Partner with department leaders to define project scope from sampling through production delivery, establish project plans, and drive accountability for milestones and deliverables.
- Coordinate interdepartmental workflows to remove bottlenecks, improve execution, and ensure seamless handoffs between teams.
- Monitor project performance, identify risks or delays, and implement corrective actions to keep projects on track.
- Support operational decision-making by maintaining clear documentation, reporting status updates, and escalating critical issues to leadership as needed.
Requirements
- Bachelor’s degree in Accounting, Business, or a related field.
- Minimum of 4–5 years of project management, project coordination, or cross-functional operations experience.
- Demonstrated experience leading projects across multiple departments and managing competing priorities in a fast-paced environment.
- Advanced proficiency with the NetSuite ERP system, Microsoft Office Suite, and SharePoint is strongly preferred. Advanced Excel proficiency is required.
- Extensive contract manufacturing experience and experience working with suppliers in Asia are strongly preferred.
- Professional fluency in Mandarin Chinese is strongly preferred due to frequent communication with overseas suppliers.
- Strong organizational, communication, and stakeholder management skills, with the ability to influence outcomes across teams.

Salary Range:
$80,000 to $90,000 a year depending on experience.
