The role requires close coordination with vendors, internal departments, and shipyard/base access authorities to maintain uninterrupted workflow, cost control, compliance, and schedule adherence across multiple locations and job sites. This position may require travel up to 25% to support off-site operations, supplier coordination, and project execution.

Key Responsibilities

  • Coordinate and track inter-site material transfers, ensuring proper documentation, traceability, and system accuracy.
  • Perform and reconcile cycle counts, physical inventories, and location audits across all assigned locations, addressing discrepancies and implementing corrective actions.
  • Manage material issue, return, and transfer processes while ensuring proper documentation and traceability.
  • Establish and maintain organized storage systems to support efficient material retrieval and staging at each site.
  • Ensure compliance with controlled material handling, tagging, and traceability requirements in accordance with NAVSEA and customer standards.

Logistics Coordination (Materials & Personnel)

  • Plan and execute material staging, kitting, and delivery to shops, dry docks, and onboard vessels aligned with production schedules.
  • Manage personnel logistics, including coordination of access, movement, and scheduling between shipyard, warehouse, and base locations.
  • Ensure timely delivery of materials and personnel to support critical path work and minimize downtime across all sites.
  • Identify and resolve logistical bottlenecks, improving workflow efficiency across multi-site operations.

Shipyard & Base Access Coordination

  • Coordinate and manage shipyard and military base access requirements for personnel, vendors, and subcontractors across multiple locations.
  • Ensure compliance with all security protocols, badging requirements, and access authorization processes.
  • Schedule and track access requests to align with project timelines and operational needs.
  • Act as liaison between project teams and access control offices to resolve entry or clearance issues quickly.

Purchasing & Vendor Management

  • Negotiate pricing, terms, and delivery schedules with vendors to support cost control objectives and budget adherence.
  • Coordinate with vendors on order status, expediting, shipping updates, and discrepancy resolution, ensuring proper delivery to the correct site.
  • Manage subcontractor procurement and service scheduling to meet project milestones across multiple job sites.
  • Proactively mitigate supply chain risks by tracking long-lead items and expediting critical materials.

Budget Management & Cost Control

  • Assist in the development and maintenance of project budgets related to materials, logistics, and subcontracted services across multiple sites.
  • Track and monitor expenditures against budget allocations, ensuring alignment with project cost targets.
  • Identify and implement cost-saving initiatives, including vendor negotiations, bulk purchasing, and alternative sourcing strategies.
  • Analyze purchasing and logistics data across locations to highlight cost trends, variances, and opportunities for improved efficiency.
  • Collaborate with Project Management and Accounting to forecast material costs and support financial planning.
  • Ensure adherence to budget constraints while maintaining schedule and quality requirements.

  • Accurately process and maintain SAP transactions, including purchase orders, goods receipts/issues, reservations, and material transfers across multiple locations.
  • Ensure data integrity for part numbers, quantities, locations, cost codes, and job references.
  • Support cost tracking and reporting by ensuring accurate cost coding and alignment of procurement transactions with project budgets.
  • Maintain organized documentation including packing slips, receiving reports, certifications, invoices, and shipping records.

Cross-Functional & Shop Support

  • Partner with Shop Supervisors, Foremen, Engineering, QA, and Project Management across multiple sites to prioritize material and logistics needs.
  • Provide status updates on inventory levels, material availability, and procurement progress.
  • Provide input to Project Managers on cost impacts of material delays, substitutions, and logistics decisions.
