Job Summary: 

The Document Scanning Technician is responsible for preparing, digitizing, indexing, and archiving documents to support WMATA’s administrative, operational, and recordsmanagement functions. The Technician ensures the accurate conversion of large volumes of physical documents into searchable digital formats while maintaining data integrity, organization, and compliance with established retention and confidentiality standards. This role requires strong attention to detail, the ability to work independently, and proficiency with scanning hardware and documentmanagement software. 

Responsibilities and Duties: 

The Document Scanning Technician prepares documents for imaging by removing bindings, organizing pages, repairing damaged items, and ensuring proper document order. The Technician operates highvolume scanners, performs image quality checks, adjusts scanner settings for optimal clarity, and troubleshoots fundamental hardware issues. Responsibilities include indexing scanned files, assigning metadata, ensuring correct categorization, and uploading files into WMATA’s documentmanagement system. The Technician also conducts verification audits, resolves discrepancies, and maintains accurate logs of all completed work. Additional duties include safeguarding confidential information, organizing and returning scanned materials, supporting bulk scanning projects, and following recordsretention policies and digitalarchiving protocols. 

Qualifications and Skills: 

  •  Minimum Education: High School Diploma or GED required.
    • Minimum Experience: Six (6) months to two (2) years of experience in document scanning, records management, or administrative support. 
    • Familiarity with scanning equipment, digital imaging software, and documentmanagement systems. 
    • Strong attention to detail with the ability to identify errors and ensure accuracy in digital records. 
    • Basic computer proficiency, including experience with databases and Microsoft Office applications. 
    • Ability to lift boxes of documents, stand for extended periods, and handle repetitive tasks efficiently. 
    • Strong organizational and timemanagement skills. 
    • Ability to maintain confidentiality and handle sensitive information responsibly.
