Purpose of Position/Summary:
The purpose of the HR Assistant & Translator position is to complete general HR related duties and translation requests at a professional level, including but not limited to written and verbal content. This position is the primary point of contact for employees who walk into the HR office, providing a professional and friendly greeting and assistance as needed. This position also provides various clerical support roles within the department. This position assists with the implementation of services, policies and programs through HR staff, completes various reports for the Senior HR Manager, and assists company managers in the identification of the proper HR associate to contact for the addressing of various HR issues.
Essential Duties/Responsibilities :
- Act as a translator for Burmese associates from English to Chin;
- Serve as the primary point of contact for walk-in traffic in the HR office;
- Translate written English SAP/ABC work instruction and other written material as requested into Burmese, Haka Chin, and/or Chin language;
- Participates in developing departmental goals, objectives and improvement initiatives;
- Provides Chin/Burmese translation for Onboarding/Orientation of new hires and/or temporary associates;
- Provides various trainings to include, but not limited to, soft skills and technical trainings;
- Participates in administrative staff meetings and attends other related meetings to include, but not limited to company-wide communications such as preparing for the All Associates’ monthly meetings when translations are needed;
- Maintains human resource information system records (Paycom) and compiles reports from the database in addition to recording company logbooks for Safety Boots and Glasses;
- Manages and oversees vendor contracts and vendor relations/issues as necessary, such as clothing company, food vendor, cleaning crew, temp staffing agencies, etc.;
- Assists with processing of terminations, makes photocopies, faxes documents and performs other clerical functions, such as creating reservations and appointments;
- Assists Senior HR Manager with various reports and projects;
- Assists with hourly new hire onboarding process as requested;
- Assists with the various associate discount programs;
- Schedules/Reserves car and hotel rentals as requests by members of management for various guests as needed;
- Other duties as assigned by the HR Department Head.
Job Requirements:
This position requires a minimum of a high school diploma or GED from accredited organization. 1-3 years working in HR field or as a translator preferred. Specific language translation abilities centered upon the multiple Burmese languages, both written and oral, are required.
Supervisory Responsibilities/Direct Reports:
This position does not have any direct reports but does serve as a mentor/coach for other associates related to employee relations concerns.
Difficulty of Work:
The HR Assistant & Translator exercises independent judgment related to employee relations issues, but reports to the Human Resources Department Head any impactful issues. Effective communication with other divisions is imperative to the success of this position as many reports and projects are based upon information provided by different divisions/departments. The ability to read and analyze data and report figures is of major importance and the ability to manipulate data as needed is also of major importance. The ability to translate KYB SAP/ABC work instruction is paramount to the success of this position.
Responsibility:
The HR Assistant & Translator works with some relative independence and receives instruction on general projects and reports at times. The position works from company policy and provides instruction and recommendations on policy related to employee relations issues as they arise. Independent judgment on best practices is given to this position, however effective communication is required to ensure any issue is reported timely, and also ensuring KYB Burmese associates fully understand work instruction and various employee relations issues/topics. Training abilities and effective communication skills are critical for success.
Personal Work Relationships:
This position works with all divisions and departments within a multi-site location company. Effective communication is critical. The nature of the work involves such items as giving and receiving information; providing various trainings upon request; maintain coordination; conflict resolution; cooperative problem-solving; explanation of policy to provide service; etc.
Physical Effort:
While performing the duties of this position, the HR Assistant & Translator must have the ability to sit, stand and walk for long periods of time throughout the day, with or without reasonable accommodation. The HR Assistant & Translator must have the ability to lift up to 25lbs with or without reasonable accommodation.
Working Conditions:
This position operates in a professional office environment; however, there are times this position will be required to work in a manufacturing environment, or travel to various site locations. This is largely a sedentary role; however some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand for periods of time as necessary.
