What are the responsibilities and job description for the Dental Administrator position at Kutzler Dentistry?
Office Administrator (Practice Growth & Patient Relations)
Are you a master of first impressions and the "engine" behind a high-quality team?
At Kutzler Dentistry, we don’t just "book appointments"—we curate a patient journey. As a relationship-centered startup, we believe that every interaction, from the first phone call to the final hand-off, is an opportunity to provide ideal care.
We are looking for a high-caliber Office Administrator to be the heartbeat of our front office. This isn't a role for someone who wants to hide behind a computer; it’s for a proactive leader who loves building community, solving puzzles, and ensuring our team has everything they need to focus on what matters most: the patient.
Why Kutzler Dentistry?
- Relationship-First Philosophy: We prioritize quality over quantity. You will have the autonomy to truly get to know our patients and advocate for their needs.
- Collaborative Leadership: You aren’t just staff; you are a key partner to the clinical team. We value your insights on how to grow the practice sustainably and ethically.
- Professional Respect: We provide a high-quality work environment where your administrative expertise is recognized as a vital pillar of our success.
What You’ll Do
- Patient Advocacy: Serve as the primary point of contact, ensuring every patient feels seen, heard, and cared for from their first interaction.
- Strategic Scheduling: Manage the flow of the practice to ensure "ideal care" is delivered without the stress of over-scheduling or clinical bottlenecks.
- Financial Stewardship: Handle insurance verification, treatment plan presentation, and billing with transparency and empathy.
- Startup Operations: Help implement and refine office systems, from digital intake forms to internal communication protocols.
- Team Synergy: Coordinate with the clinical team to ensure a seamless "hand-off" and a cohesive patient experience.
The Ideal Candidate
- High Emotional Intelligence: You can navigate difficult financial conversations and anxious patients with grace, warmth, and professionalism.
- Organized & Proactive: You see a problem before it happens and already have two solutions ready to go.
- Exceptional Communicator: You bridge the gap between clinical necessity and patient understanding, making "ideal care" accessible and clear.
- Tech-Savvy: Comfortable navigating modern practice management software and digital communication tools.
Requirements
- Previous experience in dental office administration is required. 1 year minimum, 2 years preferred.
- Deep understanding of dental insurance, coding, and treatment coordination is ideal.
- Proven track record of providing a "concierge-level" customer experience.
- Strong leadership skills and the ability to work independently in a startup environment.
- Clinical experience as hygienist or dental assistant, or willingness to be cross-trained is preferred.
