Position Summary:
The Customer Operations Coordinator supports customer service, order management, dealer support, sample fulfillment, and operational activities for the Dental business. This role serves as a key liaison between customers, dealers, sales representatives, third-party logistics providers, and internal stakeholders to ensure orders, shipments, customer data, invoicing, and related business processes are managed accurately and efficiently. The position requires strong organizational skills, attention to detail, and the ability to coordinate multiple priorities in a fast-paced environment while maintaining a high level of customer service.
Responsibilities:
Customer Service & Order Management
- Support the complete order lifecycle, including order entry, order maintenance, fulfillment coordination, and customer follow-up activities.
- Serve as a primary point of contact for customers, dealers, sales representatives, and internal stakeholders regarding orders, shipments, and related inquiries.
- Maintain accurate customer, dealer, pricing, order, and shipment information within company systems.
- Assist with customer-specific requirements, documentation requests, and account-related updates.
Operations & Logistics Coordination
- Coordinate with third-party logistics providers, warehouse partners, and internal teams to support product availability, order fulfillment, and shipment execution.
- Monitor inventory and shipment activity and communicate potential supply or fulfillment issues to appropriate stakeholders.
- Assist in resolving order, shipment, inventory, and operational issues to support customer satisfaction and business continuity.
Business Process & Administrative Support
- Support invoicing, sales data administration, reporting, chargebacks, expense processing, and other operational activities as needed.
- Identify process improvement opportunities and recommend practical solutions to improve efficiency, accuracy, and customer experience.
- Maintain records and perform responsibilities in accordance with company policies, internal controls, and applicable quality standards.
Additional Responsibilities
- Perform other duties and special projects as assigned.
Minimum Qualifications:
- HS Diploma or equivalent AND 1-3 years in customer service, order management, sales operations, logistics, or related support functions
- Experience supporting customer service, order management, sales operations, logistics coordination, or related business processes.
- Strong communication and interpersonal skills with the ability to work effectively with customers, dealers, vendors, logistics providers, sales teams, and internal stakeholders.
- Strong attention to detail and ability to manage accurate business records and transactions.
- Proficiency with Microsoft Office applications, including Excel and Outlook.
- Ability to manage multiple priorities, meet deadlines, and work independently in a hybrid or remote environment.
- Strong organizational, problem-solving, and follow-through skills.
- Ability to identify operational issues and escalate appropriately.
- This candidate must reside in New York.
- This role has 10% of travel.

NOTE: The salary range for this role is $56,188.40 - $84,282.61 annually.
