Job Summary
We are seeking a highly organized and proactive Office Administrator to oversee daily office operations and support our team. The ideal candidate will possess strong administrative, communication, and organizational skills, with experience in office management, bookkeeping, and human resources. This role involves managing schedules, vendor relationships, and team coordination to ensure smooth business functions across various departments, including medical office management if applicable.
Duties
- Manage and coordinate office activities, including calendar management and scheduling appointments
- Oversee vendor management and maintain positive relationships with suppliers and service providers
- Handle bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and financial record keeping
- Supervise administrative staff and provide training & development opportunities to enhance team performance
- Assist with human resources functions such as payroll processing, employee onboarding, and record maintenance
- Organize and plan company events, meetings, and training sessions
- Maintain filing systems (physical and digital) for efficient document retrieval
- Manage front desk operations including multi-line phone systems, greeting visitors, and phone etiquette
- Oversee office supplies inventory and procurement processes
- Support office management tasks related to medical or specialized office environments as needed
Requirements
- Proven experience in office administration or related roles with strong clerical and organizational skills
- Experience with event planning, vendor management, payroll, budgeting, bookkeeping, and human resources is preferred
- Proficiency in QuickBooks and MS Office Suite (Word, Excel, Outlook)
- Excellent communication skills with professional phone etiquette
- Strong organizational skills with the ability to manage multiple priorities effectively
- Supervising experience or team management skills are highly desirable
- Experience in medical office management or front desk operations is a plus
- Ability to handle confidential information discreetly
- Demonstrated ability to train staff and support professional development initiatives
- Prior experience managing multi-line phone systems and calendar management tools is preferred
