Job Summary
The Front Office Coordinator plays a crucial role in ensuring the smooth operation of our office environment. This position is responsible for managing the front desk, coordinating schedules, and overseeing various administrative tasks. The ideal candidate will possess strong communication skills, be highly organized, and have experience in office management, particularly within a medical setting. This role requires a proactive individual who can effectively manage multiple tasks while providing exceptional service to both staff and clients.

The ideal candidate is someone with experience in a professional setting, experience answering phones and calendaring appointments on multiple calendars, who is reliable and dependable, and has the ability to remain calm and organized when managing multiple tasks and interactions simultaneously.
Key Responsibilities:
Front Desk & Phones
- Answer and triage all incoming phone calls
- Listen to and respond to voicemails
- Conduct client intake and schedule appointments
- Provide appointment reminders to clients
Client & Office Management
- Greet and seat clients and walk-ins
- Offer beverages and maintain client-ready conference space
- Make coffee, wash dishes, and maintain kitchen tidiness
- Order and manage office supplies
- Scan and organize documents
Calendaring & Correspondence
- Manage attorney and client appointment calendars
- Draft and send client correspondence (initial outreach, reminders, follow-ups)
Client File Management
- Open, update, and maintain client files
- Close and archive completed matters
Mail & Banking
- Sort and distribute incoming mail
- Drop outgoing mail at USPS daily
- Make bank runs as needed
- Assist with Clio billing and processing payments
Court & Legal Support
- E-file pleadings and calendar court deadlines
- Occasionally run errands to court or other legal offices
Document Preparation
- Draft and edit legal forms (e.g., fee agreements, closing letters)
General Errands
- Handle firm errands as needed
Qualifications & Skills:
- Highly organized and detail-oriented
- Strong client service and communication skills
- Comfortable managing a busy front desk and multitasking
- Professional, dependable, and takes pride in quality work
- Positive, flexible, and team-oriented attitude
- Strong proofreading skills
- Proficient in Microsoft Office Suite
- Willing to learn new software (e.g., Clio)
- Confident with faxing, scanning, digital filing, and basic office equipment
