Client Services Specialist

Join KSA Marketing, a woman-owned, vibrant agency specializing in integrated advertising and brand management for global consumer brands, education, and manufacturing clients based in Warwick, Rhode Island.

The Opportunity

KSA Marketing is hiring a Client Services Specialist to support the execution and day-to-day management of client work. This role sits within the Client Services team and reports to the Client Services Supervisor.

You will act as a key connector between clients, external stakeholders, and internal agency teams, ensuring work moves forward accurately, efficiently, and without gaps. You will support multiple accounts, manage high volumes of written communication, track deliverables, review content, and keep projects organized from kickoff through completion.

This role is ideal for someone early in their agency career who thrives in a fast-paced environment, is highly detail-oriented, and wants to grow into a client-facing leadership role or brand management position.

Responsibilities

Client Services Support

  • Support day-to-day communication across assigned client accounts
  • Prepare meeting agendas, notes, and follow-ups to keep work moving
  • Maintain clear, organized documentation of client requests, feedback, and approvals
  • Coordinate, draft, and communicate feedback on marketing materials

Project Management

  • Partner with Project Managers to track timelines, deadlines, and deliverables
  • Maintain detailed, accurate, and up-to-date records across project management systems
  • Assist with preparing budgets, presentations, and various materials
  • Accurately follow established procedures with focus and professionalism

Data, Reporting, and Insights

  • Log, track, and facilitate time-sensitive approvals of marketing material from teams and markets across the globe
  • Assist in tracking and pulling data, identifying patterns, and assembling reports
  • Maintain organized tracking of key metrics and deliverables
  • Ensure accuracy in reporting and documentation, assisting with the analysis of non-traditional data sets when assigned

90-Day Priorities

  • Learn KSA’s systems, processes, and maintain clean, accurate data
  • Support multiple weekly calls and assist with documentation, as well as follow-up
  • Demonstrate a high level of professionalism and an ability to maintain client confidentiality
  • Execute tasks assigned on time with accuracy and consistency
  • Establish trusted working relationships within Client Services, Production, and Project Management

Year-One Goals

  • Independently manage submission processes and assemble materials for review meetings
  • Manage client and market communications end-to-end
  • Mastery of client guidelines, procedures, and terminology
  • Facilitate weekly with minimal supervision
  • Demonstrate readiness for expanded responsibility in business development, production, or client services

Required Qualifications

  • 2-5 years of experience in marketing, design, or brand management
  • Ability to quickly learn and apply complex brand guidelines, toolkits, and client-specific requirements
  • Exceptional written and verbal communication skills
  • Proficient with Microsoft Office, Google Workspace, and iOS
  • Aptitude to learn new software and digital tools
  • Ability to manage multiple priorities and meet deadlines
  • Tenacious attention to detail
  • Rhode Island-based and able to work in the office at least four days per week

Preferred Qualifications

  • Experience in an agency or professional services environment
  • Experience working in fast-paced, startup environments
  • Familiarity with data analysis and visualization
  • Airtable, Frame.io, and Function Point experience a plus
